Job description

Comunilife Inc. is looking for a Human Resource Assistant to join their Human Resources Team.ย The Human Resource Assistant will be responsible for all clerical and administrative functions related to the Human Resources Processes.ย  As a Receptionist, they are responsible f or providing phone coverage for the front desk area of the Main Administrative Office in Manhattan and redirect any program calls received to the appropriate contact. This position is eligible for Comunilife's generous benefits and paid time off package.


Essential Duties:

Employee Management

  • Assist with the Onboarding Process
    • Timely send out Paycom New Hire Queu to candidates being onboarded
    • Review New Hire Queu is completed appropriately. Check for completion and accuracy prior to the candidateโ€™s onboarding appointment.
  • Ensure employee scanned documents are appropriately loaded into HRIS profile

Employee ID Creation

  • Create Employee ID for new hires and when replacements are requested

Digitizing Older Files

  • Responsible for the digitalization of current employee files.ย  (as needed)
    • Collect, scan, electronically sort/separate and upload all contents of an employee physical chart into their corresponding HRIS electronic profile during the filing days that have been

Reception Coverage (during Receptionist breaks and when they are out)

  • Greet visitors, tenants and employees in a professional manner
  • Relay any messages received to appropriate parties
  • Ensure visitor protocol is adhered to when covering the front desk.

Onboarding

  • As part of the onboarding process, assists potential employees with the completion of the necessary paperwork required for employment along with verifying all identifications required by the U.S. Citizenship and Immigration Services 1-9 Form and all relevant credentials for the position that the applicant has been hired for.
  • Review of candidate documents and forms;
    • Background check applications
    • Conduct Employment verification (Contacting former/current employers to verify employment by phone, email or portal)
    • Conduct Reference checks (Contacting provided names of references) within 2 weeks of candidate onboarding appointment.ย 
    • Submit weekly status update to Human Resources Managerย  so that the candidate can be contacted related to the status and any issues with pending items.
  • Confirm when employees are completed with all onboarding process to HR Generalist and Vice President of Human Resources.
  • Send out Start date and NewHires email to appropriate parties to communicate the start date for the new hire and have their set up completed
  • Send out welcome email to candidate with start date, location and supervisor information. Attach job description to the email for manager and employee to review and return signed during the first week.

Clerical and Administrative Assistance

  • Assist Human Resources team with clerical duties as needed
Education and Experience Requirement(s):
  • High School Diploma or GED required, Associates degree preferred. At least 2 years of experience in office setting, preferably in Human Resources department
