Job DescriptionAs a Reservations & Retail Assistant at Auster, you'll serve as a key point of contact for guests throughout their experience - from initial inquiries and trip planning to on-property support during their stay. This hybrid role blends hospitality, guest service, reservations, and retail operations, helping ensure a seamless and welcoming experience across the property. This position supports both the front desk/reservations team and retail operations, stepping in to assist with daily oversight when managers are not on property. The ideal candidate is highly organized, guest-focused, adaptable, and comfortable balancing administrative tasks with hands-on hospitality and retail support.

Key Responsibilities

Guest Experience & Reservations

  • Respond to guest inquiries via phone, email, and online channels in a timely and professional manner
  • Assist guests with accommodations, activity recommendations, dining reservations, and pre-arrival planning
  • Support reservation management, including bookings, modifications, cancellations, and guest profiles within the PMS system
  • Provide knowledgeable recommendations about Yellowstone National Park, Paradise Valley, and seasonal activities
  • Anticipate guest needs and help create thoughtful, personalized stays
  • Assist with guest check-ins, departures, and general front desk support as needed

Retail Operations & Guest Service

  • Support the daily operations of Auster's retail spaces, including the Outfitters Room and Market
  • Deliver warm, knowledgeable service while creating a welcoming retail experience for guests and visitors
  • Maintain clean, organized, and visually appealing retail environments that reflect the Auster brand and aesthetic
  • Assist with merchandising, product restocking, inventory organization, and seasonal displays
  • Process retail transactions accurately using POS systems and support daily opening/closing procedures
  • Monitor product levels and communicate inventory needs or operational issues to management

Administrative & Operational Support

  • Maintain accurate records across reservation and retail systems
  • Support coordination between guest services, housekeeping, food & beverage, and activities teams
  • Assist with reporting, administrative tasks, and operational follow-through across departments
  • Step in to help oversee day-to-day operations and guest needs when department managers are unavailable
  • Communicate guest preferences and important details clearly across teams

Team Collaboration

  • Work closely with all departments to ensure smooth guest experiences across the property
  • Contribute to a positive, team-oriented work environment grounded in hospitality and professionalism
  • Follow established service standards, policies, and procedures
  • Participate in training and ongoing operational support as needed

Qualifications

  • 1-3 years of experience in hospitality, reservations, retail, guest services, or a related field preferred
  • Strong written and verbal communication skills
  • Comfortable using booking systems, POS systems, and digital tools
  • Strong organizational skills with excellent attention to detail
  • Ability to multitask and adapt in a fast-paced environment
  • Positive, team-oriented attitude and willingness to step in where needed
  • Interest in travel, outdoor recreation, retail merchandising, or the Yellowstone region is a plus
