Job description

Facility Coordinator — Moffitt Discovery and Innovation Research Center at SPEROS

Pasco County, FL

Moffitt is opening a new chapter at the Moffitt Discovery and Innovation Research Center (MDI) at SPEROS in Pasco County — a brand-new, state-of-the-art research campus built to advance the future of cancer science. We are seeking an organized, service-minded professional to join the Research team as the plank-owning Facility Coordinator at this new site, serving as the welcoming face of the building and the operational anchor that keeps it running smoothly.

The position will initially be based at our Magnolia Campus (Tampa). Ultimately, the position will be located at Moffitt at Speros in Land O’Lakes, FL once the facility opens mid-July 2026.

Position Highlights:

This is a ground-floor opportunity to be the founding Facility Coordinator at Moffitt’s newest research campus. The Facility Coordinator will:

  • Be the visible front-of-house presence at SPEROS — the first person researchers, leadership, vendors, and visitors see when they walk through the door.
  • Serve as the primary liaison between facilities management contractors, Environmental Services, Security, and research team members — the single point of contact who keeps everything coordinated.
  • Conduct routine building walkthroughs of non-laboratory areas to spot fire code issues, slips/trips/falls hazards, and general facility concerns before they become problems.
  • Help establish the daily operating rhythm and professional atmosphere of the entire MDI building — setting the tone other Moffitt research sites will be measured against.
The Ideal Candidate:

The ideal Facility Coordinator for SPEROS is organized, hospitable, and naturally service-oriented — someone who genuinely enjoys being the person who keeps things running and makes other people’s days easier. They should have:

  • Strong customer-service instincts and a courteous, professional presence with internal and external visitors at all levels.
  • Excellent organizational skills — able to triage requests, follow through on tickets, track supplies, and keep schedules accurate without dropping anything.
  • Strong written and verbal communication skills, with comfort communicating across multiple stakeholder groups (facilities contractors, security, scientists, leadership).
  • Proficiency with Microsoft Office (Outlook, Word, Excel) and a willingness to learn vendor credentialing software (e.g., Reptrax), access control platforms, and facility ticketing systems.
  • A safety-aware eye — able to walk through a building and notice when something is off (a blocked egress, a wet floor, a propped-open door, a missing extinguisher tag).
  • Comfort being highly visible all day and being interrupted often — this is not a heads-down desk job.
  • Previous experience in a front desk, concierge, hospitality, facilities, security, or law enforcement role is a plus.
Responsibilities:
  • Monitor access to the main entrance of the SPEROS MDI building. Check in and check out visitors, contractors, and vendors using vendor credentialing software (e.g., Reptrax).
  • Triage and record requests from tenants related to facilities upkeep and maintenance; route to MCC Facilities, Environmental Services, or Security as appropriate; track to closure.
  • Function as the day-to-day liaison between the facilities management contractor and Moffitt at the SPEROS site.
  • Conduct routine building walkthroughs and inspections of non-laboratory areas to identify fire code issues, slips/trips/falls hazards, and general facility conditions; document findings and follow up on corrective actions.
  • Maintain schedules for all conference rooms at the MDI building and ensure availability and access for tenants.
  • Order commonly used supplies (coffee, filters, paper products, copier paper, etc.) and manage shared supply areas.
  • Coordinate, monitor, and secure confidential records and shipments delivered to the MDI building.
  • Maintain logs for locker assignments and handle key distribution.
  • Regularly monitor security cameras for proper operation and report issues to Security.
  • Act as liaison between vending and other on-site service providers and Moffitt; resolve service issues.
  • Keep the facilities intake area clean, organized, and professional in appearance at all times.
  • Other duties as assigned in support of MDI building operations.
Credentials and Qualifications:
  • High school diploma or GED required; Associate’s or Bachelor’s degree preferred.
  • Strong organizational and communication skills required.
  • Strong computer and business software knowledge required (Microsoft Office — Outlook, Word, Excel).
  • Previous experience in front desk, concierge, hospitality, facilities, security, or law enforcement preferred.
  • Must be able to sit at a front desk for extended periods AND tolerate periodic walking and standing during building walkthroughs and inspections.
