Remote Workflow Automation information

What are the key skills and qualifications needed to thrive as a Remote Workflow Automation Specialist, and why are they important?

To thrive as a Remote Workflow Automation Specialist, you need strong analytical skills, process optimization experience, and a background in IT or business process management. Familiarity with automation tools like Zapier, Microsoft Power Automate, or UiPath, as well as relevant certifications, is typically required. Excellent communication, problem-solving, and self-management skills distinguish top performers in remote environments. These competencies enable efficient process streamlining, effective team collaboration, and successful automation project delivery from any location.

What are some common challenges faced when managing workflow automation remotely, and how can they be addressed?

One common challenge in remote workflow automation roles is ensuring seamless communication and coordination across distributed teams, especially when automating processes that involve multiple departments. It's important to establish clear documentation, standardized procedures, and regular check-ins to keep everyone aligned. Additionally, remote professionals must be proactive in monitoring automated workflows for errors or inefficiencies, often requiring robust reporting tools and strong troubleshooting skills. Leveraging collaborative platforms and fostering a culture of transparency can help overcome these challenges and ensure smooth automation projects.

What is remote workflow automation?

Remote workflow automation refers to the use of technology and software tools to automate business processes and tasks that can be managed from any location. This approach helps organizations streamline operations, reduce manual effort, and improve efficiency, especially for distributed or remote teams. By automating repetitive tasks, businesses can focus on higher-value work and maintain productivity regardless of team members' physical locations. Tools like Zapier, Microsoft Power Automate, and others are commonly used to set up these automated workflows.

RFG Advisory

Birmingham, AL • On-site, Remote

$92K - $109K/yr

Full-time

Medical, Dental, Vision, Life, Retirement, PTO

Posted 3 hours ago

Key responsibilities

  • Prototype and ship internal tools, agents, and AI-powered workflows across advisor and corporate technology stacks.

  • Form and communicate decisions on what technology to build, buy, modify, or leave alone, and document these decisions for organizational clarity.

  • Manage project delivery by defining scope, sequencing milestones, providing weekly status updates, and ensuring project records are accurate and up to date.

Job description

RFG Advisory is at a strategic inflection point. Our technology stack is reshaping itself continuously, and the build-versus-partner discipline that drives those decisions cannot live in one person’s head at the senior leadership level. This role exists to change that.

This is a Super-IC seat (60% hands-on builder, 40% process thinker) for someone who ships, prototypes, and demonstrates solutions. You take a tool, a signal, or an API connection and turn it into a working flow that an advisor or internal team can actually use, fast. This role is the proof point that RFG is not just talking about being tech-forward. We are doing it.

Location: This role can be in our Birmingham office or remote.

  • If in Birmingham, AL, our office works a hybrid schedule (3 days in-office, 2 remote).
  • If remote, occasional travel to Birmingham will be required including onboarding.

Reports to: Vice President or Technology and Operations

What You\'ll Do:

Build the Connective Tissue

  • Prototype and ship internal tools, agents, and AI-powered workflows across our advisor and corporate stacks (Salesforce, HubSpot, Zocks, ClickONE, Microsoft 365, Schwab integrations, and more).
  • Take a half-defined signal, API connection, or vendor demo and turn it into a working v1 within days — demos and working prototypes are your primary deliverable.
  • Use APIs, MCP servers, Claude Console, MS Copilot Studio, and MS Foundry to compress what used to take an integration partner six weeks into a demo-ready build.

Build vs. Partner Discipline

  • Own the build-vs-partner discipline: form and communicate a clear point of view on what to build, buy, bend, or leave alone — sequenced against what’s already in flight.
  • Document decisions and trade-offs so the organization can move with confidence.

Drive Delivery & Project Discipline

  • Hold the multi-thread program in your head: clear scope, sequenced milestones, weekly status, and retros that produce real changes without heavy ceremony.
  • Communicate status to leadership in the format they need to make decisions — short, sharp, and timely.
  • Keep our shared system of record (Zoho Projects/ClickUp) honest — projects, owners, dates, and decisions visible. Document, hand off cleanly, and make the next person’s job easier.

Partner Across the Org

  • Ask why an advisor would care, why the CEO would fund it, and why the team would adopt it — before you build. Work alongside Corporate and Advisor Tech teams as the explorer at the front.
  • Translate AI capability and technical decisions into language our CEO, board, and advisors can act on.

Requirements

Experience

  • 5+ years building and shipping software-powered workflows, internal tooling, or products as a technical PM, solutions engineer, or product ops leader — where you owned the problem definition and the build.
  • Demonstrated experience shipping AI-powered or automation-heavy work in production (agents, MCP, Copilot/Claude-driven workflows, etc.). Side projects and personal builds count.
  • Demonstrated track record running cross-functional projects end-to-end: scoping, sequencing, status, risk management, and stakeholder communication.
  • Comfort across messy, multi-entity environments (CRM, marketing automation, financial planning, custodian integrations). Wealth-management experience is a plus, not required.
  • Track record of partnering with non-technical executives and translating capability into business outcomes.

AI & Tooling Fluency

  • Daily use of frontier AI tools (Claude, ChatGPT, Copilot, Lovable) for both building and thinking — with a point of view on when to use which and why.
  • Working understanding of APIs, webhooks, MCP, agentic patterns, prompt engineering, and lightweight scripting (Python or JS).
  • Comfort with at least one CRM (Salesforce or HubSpot) at the configuration/workflow/data-model level.
  • Experience with Zocks, Snowflake, RightCapital, eMoney, Income Lab, Orion, Schwab APIs, or similar wealthtech is preferred.

Project Management & Tooling

  • Comfortable running cross-functional work in modern PM tooling (Zoho Projects, Asana, ClickUp, Jira, Linear, Monday.com — the muscle matters, not the brand).
  • A critical eye on tools, not loyalty to them. We want someone who can evaluate a tool against the job and push back when it’s the wrong fit.
  • Bonus: experience configuring or building inside a PM tool (custom fields, automations, dashboards, CRM integrations).

Education

  • Bachelor’s degree in a technical, business, or related field, or equivalent hands-on experience. We weight the work over the degree.
