Remote Weekend Event Planning information

How do remote weekend event planners effectively coordinate with vendors and clients when working off-site?

Remote weekend event planners rely heavily on digital tools and proactive communication to manage logistics with vendors and clients. They typically use video conferencing, project management platforms, and instant messaging to ensure everyone stays aligned on event details and timelines. Building strong relationships and setting clear expectations in advance are crucial, as in-person site visits may not be possible. Effective planners also establish contingency plans to address last-minute changes or technical challenges that can arise over the weekend.

What is a remote weekend event planner?

A Remote Weekend Event Planner is a professional who organizes and coordinates events, such as conferences, parties, or meetings, primarily during weekends while working from a remote location. Their responsibilities include communicating with clients, managing vendors, creating event schedules, and ensuring all details are handled smoothly without being physically present at the event site. This role often requires strong organizational skills, proficiency with virtual communication tools, and the ability to manage multiple tasks efficiently. Remote Weekend Event Planners play a key role in ensuring successful events while providing flexibility for both clients and themselves.

What are the key skills and qualifications needed to thrive as a remote weekend event planner?

To thrive as a Remote Weekend Event Planner, you need strong organizational skills, attention to detail, experience in event coordination, and typically a background in hospitality or a related field. Familiarity with project management software, virtual conferencing tools, and online registration systems is essential. Excellent communication, adaptability, and problem-solving abilities help you manage client expectations and handle last-minute changes. These skills ensure seamless event execution, client satisfaction, and the ability to work efficiently from a remote environment during weekends.

Job description

FP&A ManagerUnited States (Remote)

About Us

Reachdesk is the first truly end-to-end SaaS global gifting and swag platform, helping B2B companies create meaningful connections with prospects, customers, and employees: while driving measurable ROI.

We believe gifting is more than just a transaction: it's about building genuine human connections that fuel business growth. Whether you're engaging prospects, celebrating customers, or recognizing employees, our platform makes it easy to deliver personalized gifts, branded swag, and unforgettable event & brand experiences at scale through automated sourcing, storage, and global delivery.

Trusted by many of the most recognized names in technology and SaaS, Reachdesk integrates effortlessly with your marketing, sales, and HRIS tech stack and is powered by a world-class team with hubs in New York, London, and Lisbon.

We're growing and looking for an FP&A Manager to join us.

About the Role

Reachdesk is a multi-entity SaaS gifting marketplace operating across the US, UK, Portugal, and Australia, with three revenue streams and physical goods moving across borders. We are professionalizing the finance function and investing in the people, systems, and reporting that let the business scale with confidence.

This is a modern, data-driven FP&A seat. Alongside owning planning, forecasting, and the performance narrative, you will own the reporting and analytics that finance runs on and use automation and AI to do more with a lean team. If you enjoy combining financial storytelling with hands-on work in data and tools, this role is built for you.

Responsibilities
  • Planning and analysis
    • Build and maintain the consolidated operating model across all entities and revenue streams.
    • Own the annual budget, quarterly reforecasts, and rolling cash and P&L forecasts.
    • Run budget-versus-actual and variance analysis, with clear commentary on drivers.
    • Develop unit economics and margin analysis by revenue stream, including gifting wallet and sourcing.
    • Produce the board, lender, and management reporting narrative, translating results into the metrics that matter to the business.
  • Data and analytics
    • Own the Reachdesk Performance Dashboard as the single, trusted view of company performance, keeping it accurate, current, and aligned to reported financials.
    • Own the reporting data layer that spans NetSuite, Salesforce, DealHub, and analytics tooling, so management reporting runs off one reconciled source of truth.
    • Partner with data owners across the business to specify finance's reporting, data, and integration requirements and to protect data quality.
    • Define and monitor the data integrity checks that keep forecasts and dashboards reliable as volumes scale.
    • Build and maintain self-service dashboards and reporting for finance and cross-functional stakeholders.
  • Automation and AI
    • Identify and implement automation across forecasting, reporting, and variance workflows to reduce manual effort.
    • Apply AI tools to accelerate analysis, surface anomalies, and draft first-pass commentary.
    • Champion practical, controlled adoption of AI and automation within finance, with appropriate review and governance.
About You
  • Five or more years in FP&A, corporate finance, or a closely related analytical role, ideally in SaaS or a multi-entity business.
  • Advanced financial modeling and a strong command of Excel or Google Sheets.
  • Hands-on data skills: SQL and BI or analytics tools, and comfort working across multiple source systems.
  • Working knowledge of an ERP, NetSuite strongly preferred; CRM and CPQ data (Salesforce, DealHub) an advantage.
  • Demonstrated use of automation and AI tools to improve finance or analytics workflows.
  • Clear, concise communication and the ability to present to executives and a board.
  • A bachelor's degree in finance, accounting, economics, data, or a related field.
Preferred Qualifications
  • Experience in a high-growth, multi-entity, or investor-backed business.
  • Multi-currency consolidation and cross-border operations.
  • Integration tooling (for example Workato) and modern analytics platforms.
  • A finance or analytics certification (for example CFA, CMA, or an FP&A or data credential).

The Benefits

  • Competitive salary with generous stock options
  • 401(k) with employer match
  • Medical, dental & vision insurance, including mental health support and fast access to care
  • Flexible PTO that increases the longer you're with us, plus extra flexibility for life's unexpected moments
  • A genuinely collaborative culture with innovative, fun, and ambitious people
  • Compensation is based on standardised salary ranges by role, level, and location, benchmarked against similar-sized companies. Final offers are determined by a combination of experience, skills, and role fit, and may vary from the listed range.

Reachdesk believes that a diverse team helps us achieve our mission faster, and so we welcome applicants from all backgrounds.
