POSITION SUMMARY
The Executive Assistant to the CEO is the operational right hand to DanceOne's Chief Executive Officer and a central member of the Office of the CEO.
This individual will manage the CEO's calendar, inbox, travel and daily priorities while also supporting the operating rhythm of the executive office. This includes coordinating Board and investor activities, supporting Executive Leadership Team meetings, maintaining visibility into strategic priorities, tracking key decisions and commitments, and ensuring critical follow-ups move to completion.
The Executive Assistant will serve as a trusted gatekeeper with the judgment and authority to protect the CEO's time, redirect requests, resolve routine matters independently and escalate issues requiring CEO attention.
This person will also serve as a partner-facing extension of the CEO's office, helping the CEO enter every conversation prepared with the appropriate context, relationship history, open issues and desired outcomes.
This role requires exceptional judgment, discretion, attention to detail and follow-through. The right person anticipates rather than reacts, operates calmly in a fast-changing environment, and understands that the value of an outstanding Executive Assistant is not simply managing activity-it is creating leverage for the CEO and helping the organization execute.
ESSENTIAL DUTIES & RESPONSIBILITIES

• Manage the CEO and COO's calendar and priorities.Own scheduling from beginning to end across multiple time zones, including booking, confirming, protecting focus time, resolving conflicts and reprioritizing as business needs change. Ensure the CEO's calendar reflects the company's highest financial, operational, people and growth priorities.
• Serve as a trusted gatekeeper. Evaluate incoming requests, protect the CEO's time and redirect, decline or defer meetings when appropriate. Use sound judgment to determine what can be handled independently, delegated to another leader or elevated to the CEO.
• Run the CEO's inbox. Triage incoming email, identify time-sensitive matters, draft and send correspondence on the CEO's behalf, flag items requiring a decision and ensure nothing awaiting the CEO's attention goes quiet. Manage sensitive communications involving personnel, financial, legal, partnership, safeguarding or reputational matters with complete confidentiality.
• Coordinate travel and logistics. Develop detailed itineraries covering flights, hotels, ground transportation, meeting locations, event schedules and relevant contact information. Monitor travel and adjust plans in real time when schedules or circumstances change.
• Prepare the CEO for every meeting. Create concise pre-meeting briefs covering participants, roles, relationship history, prior conversations, open commitments, potential sensitivities and the desired outcome of the meeting. Ensure all relevant agendas, data, presentations, contracts and background materials are organized and available in advance.
• Support the Board of Directors and investors. Coordinate the annual Board and committee calendar, meeting logistics, agendas, pre-reads, presentations, approvals, minutes and follow-up actions. Work closely with the CEO, Board Chair, Finance, Legal and other leaders to ensure Board materials are complete, accurate, timely and presented to an external-ready standard. Maintain appropriate confidentiality around Board, investor, transaction and company information.
• Support the Executive Leadership Team operating cadence. Coordinate recurring Executive Leadership Team and Senior Leadership Team meetings, strategic planning sessions, operating reviews and leadership offsites. Develop agendas, collect and distribute pre-reads, document decisions and ensure owners and deadlines are clearly assigned. Maintain visibility into cross-functional dependencies and follow up with leaders to keep critical initiatives moving.
• Track strategic priorities, decisions and commitments. Maintain a CEO priority dashboard reflecting the organization's most important initiatives, upcoming decisions, risks, dependencies and deadlines. Create and maintain a confidential decision and action tracker for major company priorities. Capture commitments made by the CEO and others, route action items to the appropriate owners and follow through until each item is completed.
• Coordinate across the organization. Work across Finance, Legal, Human Resources, Operations, Marketing, Partnerships, Sales and DanceOne's brands to gather information, resolve routine issues and move CEO priorities forward. Build trusted relationships with internal leaders while maintaining appropriate boundaries and confidentiality.
• Serve as a first point of contact. Represent the Office of the CEO with Board members, investors, partners, sponsors, studio owners, vendors and internal leaders - warmly, professionally and with sound judgment about what to escalate. Handle inbound requests to the CEO's office with a consistent standard of responsiveness, tone and discretion.
• Manage expenses, invoices and administrative operations. Prepare the CEO's expense reports, reconcile receipts, and route partner invoices and contracts to Finance and Legal for review and approval.
• Support DanceOne events: Assist with on-site logistics, VIP and partner hospitality, and CEO scheduling at DanceOne events, conventions and championships.
• Perform additional duties as assigned.

QUALIFICATIONS & EXPERIENCE

• Three or more years of experience as an Executive Assistant, Administrative Coordinator or similar, supporting a senior executive.
• Dance industry background preferred. Meaningful firsthand experience in dance - as a competitive or pre-professional dancer, studio owner or staff member, choreographer, teacher, or event and convention staff. You know how the studio, competition and convention world works and can speak its language credibly with partners.
• Based in the United States and able to work core business hours in the Central Time zone; Texas strongly preferred.
• Proven track record managing a complex, changing executive calendar across multiple time zones.
• Experience supporting or coordinating Board, investor or executive leadership meetings, including agendas, pre-reads and follow-up tracking.
• Excellent written communication; able to draft polished, on-brand correspondence on an executive's behalf.
• Proficient with Microsoft 365 (Outlook, Word, Excel, PowerPoint, Teams) and comfortable learning new systems quickly.
• Demonstrated discretion handling confidential personnel, financial, legal and Board-level information.
• Reliable high-speed internet, a professional remote workspace, and availability for occasional evening, weekend and event travel.

PREFERRED

• Experience supporting a founder or CEO at a high-growth or multi-brand company, and with partnership, sponsorship or client-relationship communications.
• Experience in a Chief of Staff, Business Manager or Office of the CEO capacity.
• Familiarity with CRM, email marketing and project management tools (HubSpot, Salesforce, Mailchimp, Asana, Notion or similar).

• Relationship instinct. Reads people and situations well, and knows how to prepare an executive for the room they are walking into.
• Follow-through and precision. Nothing falls through the cracks; open loops get closed without reminders, and the typo, wrong date or double-booking gets caught first.
• Organization under pressure. Juggles competing priorities calmly during peak event season and Board cycles.
• Judgment and discretion. Knows what to handle independently, what to escalate and when to say no on the CEO's behalf, and holds sensitive personnel, financial, partnership, Board and safeguarding information in complete confidence.
• Self-direction. Thrives working remotely with minimal supervision and stays visible and responsive.

PHYSICAL REQUIREMENTS & WORK ENVIRONMENT

• Primarily a remote, sedentary office role: extended periods seated at a computer, with frequent use of a keyboard, monitor and phone, and clear communication by phone, video and email throughout the business day.
• Occasional travel by air and car; event environments include loud music, crowds, extended time on foot, long days and occasional lifting up to 25 pounds.
