Equity Administrator Role Siebert

The Equity Administrator is an operational role within Sieberts Equity Compensation Services team, responsible for executing core stock plan administration functions and supporting corporate clients across equity platforms. This role focuses on the accurate processing of equity transactions, maintaining data integrity, and delivering high-quality service to clients.
Equity Administrators play a key role in ensuring seamless administration of equity plans, partnering with internal teams and clients to resolve issues, answer inquiries, and support the full lifecycle of equity compensation events. This position provides a strong foundation for career growth within the equity compensation and financial services industry.
Equity Administrator Responsibilities

  • Execute daily stock plan administration activities, including processing equity transactions, trade settlements, and pre-clearance requests
  • Review and resolve data discrepancies, import errors, and reconciliation issues to ensure data accuracy across systems
  • Administer equity events such as Restricted Stock Unit (RSU) releases, stock option exercises, and Employee Stock Purchase Plan (ESPP) purchases
  • Perform monthly and periodic reconciliations, including share and cash balancing activities
  • Maintain and update participant data, grant records, and plan details in accordance with client instructions
  • Manage ESPP enrollments, online grant acceptance processes, and equity plan reporting requirements
  • Identify operational risks, errors, or inconsistencies and collaborate with internal stakeholders to implement solutions and drive resolution
  • Document and maintain detailed client procedures, workflows, and internal controls
  • Monitor and manage case queues using systems such as Salesforce or similar tools; ensure timely case resolution and accurate documentation
  • Respond to client and participant inquiries with a focus on accuracy, timeliness, and service excellence, meeting defined service level agreements (SLAs)
  • Research and resolve complex equity plan issues, leveraging system knowledge and internal resources

  • CEP (Certified Equity Professional) certification is a plus, but not required
