The Accounting Supervisor is responsible for all financial activities across multiple projects and leads the day-to-day operations of the accounting team. The primary responsibilities for this role focus on overseeing invoicing, analyzing, and reporting project financial status for various projects across our continuously expanding organization. The ideal candidate must have the ability to interact with co-workers and customers at all levels. The Accounting Supervisor must be able to maintain a high-level of accuracy and confidentiality.

This position reports directly to the Director of Finance, is remote, and will work PST business hours.

Key Supervisory & Strategic Responsibilities

  • Team Leadership: Supervise, mentor, and train accounting staff; manage workload distribution to ensure all departmental deadlines are met.
  • Review & Approval: Perform first-level review of journal entries, reconciliations, and financial statements prepared by staff to ensure accuracy and GAAP compliance.
  • Process Improvement: Identify, develop, and implement streamlined accounting procedures and internal controls to enhance department efficiency.
  • Compliance Oversight: Ensure the team follows procedures and policies to facilitate effective financial reporting and compliance with Federal WIOA, local, State, and corporate policies.
  • Fiscal Management: Direct fiscal operations relating to financial planning, funds management, accounting, and reporting.
  • Budgeting & Strategy: Lead the preparation and maintenance of project budgets, forecasts, and working capital requirements.
  • Executive Liaison: Serve as a primary point of contact for senior leadership, Executive Directors and our contracts/customers, providing high-level financial insight and performance reporting.

Operational Duties

  • Policy Compliance & WIOA Stewardship: Ensure that projects fulfill all financial obligations in a timely and economic manner in accordance with established policies and WIOA guidelines.
  • Contractual & Project Coordination: Coordinate accounting activities for assigned projects, including the establishment and monitoring of contract-specific procedures.
  • Disbursement & Payroll Oversight: Oversee the processing of employee expenses, participant expenses, vendor project invoices, and program payroll analytics.
  • Revenue Cycle & Board Liaison: Manage the preparation of monthly project advance requests, invoices, and supporting documentation; interface with Workforce Boards to ensure timely payment.
  • General Ledger & Month-End Mastery: Lead month-end closing activities, including the review of Balance Sheet reconciliations.
  • Audit Management & External Relations: Manage annual audit deliverables and serve as the lead contact for periodic program audit requests.

Position Requirements

  • Education: Bachelor's degree or higher in accounting, finance, or a related field.
  • Experience: 7+ years of accounting experience, with at least 2 years in a supervisory or lead role.
  • Technical Expertise: Advanced knowledge of Generally Accepted Accounting Principles (GAAP); ability to reconcile complex balance sheets and profit/loss reports.
  • WIOA/Grant Knowledge: Proven experience with budgeting and forecasts across multiple funding streams (specifically WIOA or government contracting) is highly preferred.
  • Software Proficiency: Advanced MS Excel and Accounting Software skills (QuickBooks, Adaptive Workday, and Expensify experience a plus).
  • Leadership Skills: Demonstrated ability to manage a team, foster a collaborative environment, and work effectively in a virtual/remote setting.
  • Communication: Exceptional interpersonal skills with the ability to translate complex financial data for non-financial management and staff.
  • Organizational Skills: High attention to detail with the ability to manage multiple competing priorities and meet strict month-end deadlines.
  • Integrity: Must possess high ethical standards and maintain strict confidentiality.
  • Travel: Minimal travel required to meet Project Teams and Board Staff.
