Job description

Waggoner Engineering, Inc. is looking for a motivated and collaborative Proposal Coordinator to join our Proposal and Marketing team and to expand our footprint across Louisiana and the Gulf South. This is a fully remote position with occasional travel for team meetings or proposal deadlines as needed. The Proposal Coordinator will support the design and development of proposals, qualification packages, and other custom marketing materials. This role requires strong writing skills, attention to detail, and the ability to coordinate information across multiple departments and partners.ย 
  • Work closely with leadership, project managers, and technical staff to gather, refine and develop proposal content.
  • Write, edit and tailor RFP/RFQ responses for clarity, accuracy, and compliance.ย 
  • Apply Knowledge of municipal, construction, and transportation industries.ย 
  • Maintaining up-to-date project profiles, resumes, and CRM records (Deltek Vantagepoint experience preferred);
  • Manage information requests with consultant partners and ensure timely integration of content.
  • Advanced proficiency in Microsoft Office Suite, (Outlook, Teams, Word, Excel, and PowerPoint).
  • Advanced Adobe Creative Cloud skills (lnDesign, Photoshop, Illustrator) for layout and document design as well as Adobe Pro.
  • Edit technical information for proper grammar, spelling and readability.
  • Assist with graphics, layout, and overall document design following brand guidelines.ย 
  • Assemble final deliverables in strict accordance with client requirements, for both digital and physical submissions.
  • Track and organize documents, templates, data and boilerplate text to support continuous improvement of proposal assets.ย 
  • Ability to manage competing priorities and deadlines in a dynamic work environment.
  • Represent the company's mission and values through high-quality work and a positive, solutions-oriented approach.ย 
  • Bachelor's degree in English, Communications, Marketing, Journalism, Technical Writing, or Marketing or similar discipline.
  • 2+ years of experience in architecture, engineering or construction (A/E/C) industry.
  • Exceptional writing, editing, and proofreading skills with attention to detail.
  • Strong Project Coordination and deadline management capabilities.
  • Ability to work independently, manage multiple assignments, and maintain attention to detail.ย 
  • Collaborative, professional communication style and strong interpersonal skills.
Preferred Qualification:
  • Experience with Adobe Creative Cloud (lnDesign, Photoshop, Illustrator).
  • Deltek Vantagepoint CRM or similar CRM systems;
  • Familiarity with state and municipal procurement processes (DOTD, municipalities, parishes, state agencies).
  • Understanding of water, wastewater or transportation related infrastructure.ย 
  • 2+ years of experience is preferred.
