Job description

Job Title: AEC Proposal Manager

Location: Remote

Project Based, flexible hours (20hrs/week)

Hourly rate: $50.00-$65.00 per hour (based on experience)

Availability: 20+ hours/week, Monday-Friday, 8am-5pm (standard business hours)

Reports To: Director of Marketing

About the Role

We're looking for a strategic, detail-obsessed AEC Proposal Manager to lead the full lifecycle of pursuits for architecture, engineering, and construction projects. You'll drive winning proposals from RFP release to interview prep, partnering with technical teams, marketing, and leadership to turn complex project experience into compelling, client-focused stories.

We are looking for someone who can work with a high level of independence and ownership who can step into proposal support work without requiring heavy hand-holding, can navigate proposal materials confidently, and can help move work forward rather than creating additional review and rework. This is a fast-paced, deadline-driven, time-sensitive proposal environment. Effective communication is critical, we need a candidate who can communicate clearly, stay aligned, and help support forward movement during active pursuit periods.

Pursuit Leadership: Manage all aspects of RFQ/RFP responses, including go/no-go analysis, schedule development, kickoff meetings, content planning, and final production.

Content & Strategy: Write, edit, and tailor persuasive proposals, executive summaries, cover letters, and project narratives that align with client hot buttons and evaluation criteria.

Team Coordination: Facilitate collaboration between principals, project managers, engineers, architects, and subconsultants to gather technical content, resumes, and project data.

Asset Development: Maintain and evolve a library of boilerplate content, project sheets, resumes, and graphics. Ensure brand voice and visual consistency across all materials.

Interview Prep: Develop presentations, leave-behinds, and coaching materials for shortlist interviews. Support teams with rehearsals and messaging refinement.

Process & Systems: Manage CRM/proposal software like Deltek Vantagepoint, Cosential, OpenAsset, or Unanet. Track pursuits, hit rates, and lessons learned to improve win rates.

Compliance: Ensure all submissions meet RFP requirements, formatting standards, and deadlines. Conduct final quality control and compliance reviews.

Qualifications

Experience: 3-7+ years managing proposals in AEC, with proven track record on public and private sector pursuits

Industry Knowledge: Strong understanding of AEC delivery methods: Design-Bid-Build, Design-Build, CMAR, etc. Familiarity with federal SF330s a plus

Writing Skills: Exceptional technical writing, editing, and storytelling ability. Can translate complex engineering/architecture concepts into clear client benefits

Tools: Proficiency in Adobe InDesign, Microsoft Office Suite, and AEC CRM/marketing databases. Bluebeam and Canva, Hubspot & Pardot.

Project Management: Ability to manage 3-6 concurrent pursuits under tight deadlines while maintaining accuracy

Soft Skills: High EQ, diplomatic under pressure, and skilled at pulling content from busy technical staff

Preferred Qualifications

APMP certification or CPSM

Knowledge of graphic design principles for layout and infographics

Bachelor's degree in Marketing, Communications, English, Architecture, Engineering, or related field
