Position Summary
The Payroll Specialist plays a key role on Missionwell's HR team, ensuring accurate, timely payroll processing for multiple clients. This is an ideal opportunity for someone who enjoys detail-oriented work, thrives in a remote environment, and values serving mission-driven organizations. In this role, you will manage payroll processes, solve payroll-related issues, support HR administration as needed, and help create a dependable, high-quality experience for our clients.
Primary Responsibilities
  • Process bi-weekly and semi-monthly payrolls accurately, efficiently, and in compliance with applicable laws and regulations.
  • Manage multiple payroll deadlines and workflows to ensure timely and accurate submissions.
  • Collect, review, and process timecards, approvals, payroll changes, manual checks, final pay, and severance payments in accordance with state law.
  • Administer time and attendance processes and coordinate data flow with payroll systems.
  • Reconcile payroll before transmission, validate final reports, and help ensure reporting accuracy.
  • Apply appropriate tax treatment to employer-paid benefits, special payouts, and garnishments.
  • Troubleshoot payroll and HRIS issues and coordinate with software providers as needed.
  • Support employee onboarding documentation, benefits enrollments, year-end reporting, and ad hoc operational reporting as needed.
  • Maintain accurate updates in project management tools, participate in team communications and meetings, and uphold strict confidentiality.

Schedule
This part-time role is expected to average approximately 20 hours per week. Candidates should be available to work a consistent set schedule, preferably 9:00 a.m. to 1:00 p.m. Pacific Time, Monday through Friday. Slight adjustments may be made based on the new hire's time zone while still aligning with business needs.
Work Location and Technology Requirements
  • This is a remote position; occasional travel may be required.
  • A dedicated, distraction-free workspace with privacy for confidential conversations and work.
  • Reliable internet access and the ability to work effectively in a remote environment.

Employment with Missionwell LLC is at-will in certain states. Employees residing in at-will states will receive this notice in their offer letter.
This fully remote role includes an internet allowance. Candidates must reside in one of the following states: AZ, CA, CO, FL, GA, IL, MT, NC, NJ, NV, TN, or VA.
Requirements
Qualifications
  • Associate degree in a related field required.
  • At least 3 years of payroll processing experience required; multi-state payroll experience strongly preferred.
  • Strong knowledge of payroll processes, compliance requirements, and applicable federal, state, and local regulations.
  • Exceptional attention to detail, strong organization skills, and the ability to manage competing priorities.
  • Sound judgment, analytical thinking, and effective problem-solving skills in a deadline-driven environment.
  • Comfort working with spreadsheets, formulas, and payroll-related calculations.
  • Experience with payroll and HRIS platforms such as ADP, BambooHR, Gusto, isolved, Paychex, Paylocity, and/or Rippling preferred.
  • Proficiency in Microsoft Office and the ability to learn new systems quickly.
  • Clear, professional verbal and written communication skills.
  • A positive, resourceful, and solution-oriented approach, with the ability to work independently and know when to seek support.
  • Comfort supporting small organizations with limited internal HR resources.
  • Demonstrated dependability, punctuality, and effective time and project management skills.
  • Familiarity with nonprofit payroll practices, or a willingness to learn; experience supporting religious organizations or nonprofits is a plus.

All Missionwell Staff are required to
  • Maintain accurate action-item updates in Missionwell's project management tools and complete timekeeping consistently.
  • Stay informed about organizational updates by regularly reviewing Missionwell's communication tools.
  • Maintain a professional development plan and review progress with your supervisor on a quarterly basis.
  • Protect confidentiality in all aspects of your work.
  • Attend and participate in staff and team meetings as requested.
  • Perform other duties and responsibilities as assigned.

Physical Requirements
This role includes the following essential physical requirements:
  • Ability to read, write, communicate, and perform routine calculations.
  • Extended periods of sitting, standing, and typing.
  • Repetitive hand, arm, and finger movement.
  • Occasional lifting of up to 25 lbs.
