What is a remote operations manager?

A Remote Operations Manager is responsible for overseeing and coordinating business operations from a remote location rather than a traditional office setting. This role typically involves managing teams, workflows, and processes to ensure efficiency, productivity, and alignment with company goals, all while leveraging digital tools and communication platforms. Remote Operations Managers must be skilled in virtual leadership, project management, and problem-solving to effectively support distributed teams. Their duties often include monitoring key performance indicators, implementing process improvements, and ensuring smooth day-to-day operations despite geographical distances.

What does a remote operations manager do?

The job duties of a remote operations manager involve managing a production process or the provision of a service. As a remote operations manager, you work from home to monitor business operations, plan a budget, and come up with strategies to improve efficiency, quality, and profits. Some of your job responsibilities vary depending on the industry in which you work. In fields such as production, you oversee quality assurance (QA) operations. In all positions, you coordinate with employees and departments and run meetings virtually. Some jobs require you to visit work or production sites occasionally.

What are the key skills and qualifications needed to thrive as a remote operations manager, and why are they important?

To succeed as a Remote Operations Manager, you need strong leadership, project management, and organizational skills, usually supported by a relevant degree and operations experience. Familiarity with remote collaboration tools like Slack, Asana, and Zoom, as well as knowledge of workflow management systems, is essential. Excellent communication, problem-solving abilities, and a high degree of self-motivation help you effectively lead distributed teams. These competencies are critical for ensuring operational efficiency, team alignment, and successful delivery of business objectives in a remote environment.

How do remote operations managers effectively oversee distributed teams and ensure smooth workflow?

Remote Operations Managers typically rely on digital collaboration tools and clear communication protocols to coordinate team activities across different locations. They schedule regular virtual check-ins, set clear expectations, and monitor progress using project management software. Building trust and fostering engagement are crucial, as is being proactive in addressing time zone differences and potential communication barriers. This role often requires adaptability and strong problem-solving skills to maintain team cohesion and operational efficiency in a remote environment.

Job Description

The Senior Project Manager serves as the cross functional owner responsible for turning company priorities into structured projects and driving them through successful completion.

Working closely with leadership, you'll coordinate Marketing, Copywriting, Marketing Automation, Customer Operations, Events, Coaching, Product, Sales, and external partners across digital launches, live and virtual events, coaching programs, digital products/platforms, podcast and media initiatives, and other company priorities. Your role is to turn business objectives into clear, executable project plans and drive those plans to successful completion.
This is not an administrative project management position. Our client needs an operator who can take an outcome, identify everything required to achieve it, establish ownership and dependencies, anticipate risk, hold stakeholders accountable, and relentlessly close loops until the intended result has been delivered.

Responsibilities

  • Own multiple concurrent cross functional projects across digital launches, marketing campaigns, live and virtual events, coaching programs, digital products/platforms, podcast/media initiatives, and company priorities.
  • Personally build and maintain detailed project plans, timelines, dependencies, milestones, ownership, and workflows within Asana or similar.
  • Coordinate Marketing, Copywriting, Marketing Automation, Customer Operations, Events, Coaching, Product, Sales, leadership, and external partners to keep initiatives moving toward completion.
  • Drive sophisticated digital launches involving CRM and marketing automation workflows, customer journeys, promotional windows, email campaigns, landing pages, copy, testing, and hard launch deadlines.
  • Proactively identify risks, chase dependencies, hold stakeholders accountable, escalate issues when necessary, and communicate when deliverables or timelines are at risk.
  • Validate work completion by reviewing critical deliverables, confirming requirements have been met, performing final QA checks, and helping close execution gaps when necessary.
  • Assess the existing PM environment and Asana infrastructure, preserve effective processes, identify weaknesses, implement improvements, and lead a Project Coordinator while creating greater visibility and accountability across the organization.
Qualifications
  • 5+ years of hands-on project management, launch management, product/program management, or similar cross-functional experience in a fast-moving organization.

  • Proven ability to turn messy, one-off projects into repeatable systems/templates.

  • Excellent written and verbal communication skills; crisp, clear, proactive.

  • Track record of leading interdepartmental teams in remote settings.

  • Obsessive attention to detail: your work is clean, accurate, and on time; you can’t stand leaving a loop open.

  • Experience within a coaching company, digital education business, performance marketing organization, agency, membership business, or another launch-heavy entrepreneurial environment.

  • Strong understanding of digital marketing and launch workflows, including CRM/marketing automation, email campaigns, landing pages, promotional launch windows, and cross-functional dependencies.

  • Strong project management systems experience, with Asana experience highly preferred.

  • High ownership mentality with a demonstrated ability to close loops, proactively identify problems, validate outcomes, and drive work forward without constant direction.

Nice to Have

  • PMP, Agile, or Scrum certification.

  • Experience with Infusionsoft/Keap, HubSpot, or similar CRM/automation platforms.

  • Background in coaching, personal development, info products, or direct sales.

  • Strong Excel/Google Sheets and dashboard/reporting skills.

Who You Are

  • Builder: You create order, structure, and clarity out of chaos.

  • Intrapreneur: You thrive in lean teams and own results end-to-end.

  • Detail-driven: You don’t let things slip; you catch errors before they matter.

  • Balanced: You can zoom out to strategy and zoom in to execution seamlessly.

  • Collaborative: No ego, no drama, just a love for getting it right, together.
