What is a remote operations manager?

A Remote Operations Manager is responsible for overseeing and coordinating business operations from a remote location rather than a traditional office setting. This role typically involves managing teams, workflows, and processes to ensure efficiency, productivity, and alignment with company goals, all while leveraging digital tools and communication platforms. Remote Operations Managers must be skilled in virtual leadership, project management, and problem-solving to effectively support distributed teams. Their duties often include monitoring key performance indicators, implementing process improvements, and ensuring smooth day-to-day operations despite geographical distances.

What does a remote operations manager do?

The job duties of a remote operations manager involve managing a production process or the provision of a service. As a remote operations manager, you work from home to monitor business operations, plan a budget, and come up with strategies to improve efficiency, quality, and profits. Some of your job responsibilities vary depending on the industry in which you work. In fields such as production, you oversee quality assurance (QA) operations. In all positions, you coordinate with employees and departments and run meetings virtually. Some jobs require you to visit work or production sites occasionally.

What are the key skills and qualifications needed to thrive as a remote operations manager, and why are they important?

To succeed as a Remote Operations Manager, you need strong leadership, project management, and organizational skills, usually supported by a relevant degree and operations experience. Familiarity with remote collaboration tools like Slack, Asana, and Zoom, as well as knowledge of workflow management systems, is essential. Excellent communication, problem-solving abilities, and a high degree of self-motivation help you effectively lead distributed teams. These competencies are critical for ensuring operational efficiency, team alignment, and successful delivery of business objectives in a remote environment.

How do remote operations managers effectively oversee distributed teams and ensure smooth workflow?

Remote Operations Managers typically rely on digital collaboration tools and clear communication protocols to coordinate team activities across different locations. They schedule regular virtual check-ins, set clear expectations, and monitor progress using project management software. Building trust and fostering engagement are crucial, as is being proactive in addressing time zone differences and potential communication barriers. This role often requires adaptability and strong problem-solving skills to maintain team cohesion and operational efficiency in a remote environment.

Job description

About Bay Road Insurance Partners

Bay Road Insurance Partners is a roll-up platform that acquires, integrates, and grows retail insurance agencies serving individuals and small businesses across the Southeast. Our vision is to be a best-in-class insurance organization by being the acquirer of choice for local agencies, investing in profitable organic growth and providing our teams with the tools and resources they need to succeed. We are backed by The Brydon Group, a veteran-led private equity fund based in Washington, DC.

The Opportunity

We are seeking an Agency Operations Manager who will roll up their sleeves to help Bay Road achieve its goal of growing to $20 million of revenue over five years. Reporting to the Director of Business Operations, you will be our go-to expert on Applied Epic (our agency management system), other core systems, and AI solutions powering our platform. You will deploy the latest capabilities and enable agency teams to use them to the fullest. You will own cross-agency standard processes, lead continuous improvement and post-acquisition integration. You'll thrive in an entrepreneurial environment and execute both independently and alongside cross-functional teammates.

Core Responsibilities
  1. Systems & enablement
    • Serve as Bay Road's power user of Applied Epic, configuring and deploying its latest features and innovations
    • Manage deployment, integration, and administration of key systems with external partners (AMS, CRM, telephony, AI, analytics, and other tools)
    • Coach agency teams to use our technology and reporting to their full potential
    • Build and apply Bay Road's AI toolkit and spearhead agency automation efforts
  2. Operational excellence
    • Own cross-agency standard operating procedures and process optimization
    • Partner with sales leaders and Agency Process Champions to identify, analyze, and fix operational gaps, continuously explore opportunities for operational effectiveness, and propose and implement best practices or new solutions
    • Identify, diagnose, and address process gaps that introduce data-quality issues
    • Enable agency teams to consistently execute workflows across agencies
  3. M&A integration execution
    • Manage the execution of the post-acquisition integration playbook as part of our value-creation plan
    • Coordinate various functions through integration including finance, HR, IT, sales, and service
    • Track integration KPIs to capture expected value and continuously improve our integration capabilities
  4. Strategic projects
    • Lead high-priority initiatives that develop and scale the Bay Road platform, drive organic revenue growth or expand margin
Requirements
  1. Hands-on mastery of agency management systems is preferred (primarily Applied Epic) including configuring and deploying AMS features and latest capabilities
  2. Proven track record of optimizing processes, deploying AI and automation solutions, implementing best practices, and defining standard operating procedures
  3. Bias for action balanced with empathy; a demonstrated ability to coach non-technical teams to adopt new tools and processes, and to build capability and trust
  4. Strong analytical, problem-solving, organizational and process management skills, with the ability to execute strategic plans, prioritize ruthlessly, and run concurrent projects
  5. Inner drive and the ability to thrive in a fast-paced, high-growth, distributed environment

We are open to candidates that are South Florida-based or remote, with travel up to 50% of the time. Current office locations are in Florida (Miami, Key Largo, Boca Raton and Port St. Lucie).
