Job description

The Refinery is an award-winning entertainment advertising agency in Los Angeles, CA. We work with all of the major studios producing social, digital, and print creative campaigns for theatrical, television & streamer clients.

Enough about us, here's what we're looking for:
We are seeking an Executive Assistant supporting the CEO. This is an entry-level role for someone who is resourceful and comfortable figuring things out. You won't know everything on day one, and that's expected.

You'll need to be equally comfortable drafting a client gift note, running point on an e-blast, and keeping our CEO's calendar from imploding. You will enjoy this role if you're the person who naturally notices what needs to happen next before anyone asks.

Responsibilities

Executive & Personal Support

  • Help manage CEO's professional and personal calendar and inbox, proactively prioritize competing demands and help keep him focused on on the highest-value work
  • Manage business and personal travel: reservations, packing lists and day-of logistics
  • Inbox support: triage, prioritize, draft responses, and ensure nothing important slips thru the cracks
  • Book restaurants, meetings, client dinners and other logistics for the CEO & other business drivers
  • Manage all receipts, expense coding and associated reporting
  • Handle occasional personal errands and special projects around Studio City, as needed
  • Manage personal correspondence: thank-you notes, holiday cards and other outreach
  • Manage recurring renewals: subscriptions, memberships, professional licenses
  • Assist with other administrative tasks for the company

Biz Dev & Marketing Support

  • Project manage marketing deliverables; work with creative teams to ensure everything is on brand
  • Support Refinery social community management: respond to comments in brand voice, help support CEO / other business drivers' posts
  • Submit all relevant industry awards (Clios, Golden Trailer, GEMA, Graphis, etc.)
  • Ideate and purchase client gifts for CEO / other business drivers
  • Maintain and refresh capabilities decks with current work
  • Help manage Marketing calendar and track metrics

Requirements

  • 1+ years in an EA or marketing support role
  • Strong writing skills with the ability to quickly adapt to the CEO and Refinery's voice
  • Systems + AI-fluency: comfortable using tools to speed up drafting, research, and admin work
  • Reliable in-office presence 3-4 days/week in Studio City
  • Handles confidential business and personal information with discretion
  • Bonus: video editing basics (Capcut, etc), experience with awards submission platforms


    Salary Range

    $20.00-$25.00/hr
