Founded in 1969, the Society for Neuroscience (SfN) now has more than 36,000 members in more than 95 countries. Year-round programming includes the publishing of two highly regarded scientific journals, JNeurosci and eNeuro; professional development resources and career training through Neuronlineยธ the Societyโ€™s home for learning and discussion; science advocacy and public policy engagement including annual Capitol Hill Day; and a variety of engaging public outreach efforts, led by the expanding and interactive collection of public-facing resources on BrainFacts.org. SfNโ€™s annual meeting regularly attracts more than 30,000 attendees, representing 80 countries; 536 exhibiting companies; and close to 300 journalists.

Position Summary

The Assistant, Operations & Volunteer Engagement provides general support across the Operations and Volunteer Engagement Teamโ€™s project portfolio, focusing on board and Executive Committee management, Senior Leadership, and Executive Director support.


Essential Job Functions

  • Manages calendar and performs general administrative duties and logistics for the Executive Director and Senior Staff on a daily basis.
  • Coordinates monthly Executive Committee calls and 1:1 conference calls between Executive Director and SfN President.
  • Assists with projects related to volunteer operations, meeting planning, communications, invitation lists, and other special projects.
  • Assists in meetings with note-taking and meeting minutes or summary preparation as needed.
  • Assists with planning and logistics for departmental functions at the Societyโ€™s annual meeting.
  • Assists in preparing annual meeting itineraries and meeting materials for the Executive Director, Officers, and Councilors.
  • Supports SfNโ€™s awards programs, including the named awards and International Travel Awards, by coordinating with award selection committees and international partners.
  • Maintain Standard Operating Procedures and identify opportunities for efficiency.
  • Provides direct staff support to the Executive Director on-site at the Societyโ€™s annual meeting.
  • Works under direct supervision to perform technical or support tasks.
  • Performs administrative or specialized support tasks in an office setting.

Education and Experience

  • Bachelorโ€™s degree required. A degree in a related field is preferred.
  • 0-1 years of work experience

Qualifications

  • Demonstrates basic knowledge and the ability to gain proficiency in technical or specialized skills in relevant area along with a focus on developing an understanding of SfN.
  • Prior experience interacting or working with executive level or senior management.
  • Strong organizational and critical thinking skills.
  • Ability to be discreet and confidential regarding work issues is essential.
  • Must be able to work under tight deadlines while achieving a high standard of quality and accuracy.
  • Must be highly organized, detail oriented, and proactive in solving problems.
  • Must be able to set priorities and work independently with the ability to receive and productively respond to regular direction and supervisory support.
  • Demonstrated effective business communication (written and verbal) and presentation skills.
  • The ability to work in a fast paced, small team environment is essential and required, including handling multiple projects at once and being flexible in prioritizing assignments.

  • Remote - DMV Required: Remote employees that must be based in the DC/Maryland/Virginia area for reasons related to their position do not need to come into the office. Employees can work remotely in the DMV area as part of a 35-hour workweek with core hours from 10am-3pm Eastern time, and a reliable high-speed internet connection is essential.
