About the job
This supervisory role oversees a team of Certified Medical Assistants providing administrative support within a virtual healthcare office environment. The team works independently, primarily via video conference, supporting the interdisciplinary clinical team and reporting up through the Shared Services function. This role is responsible for ensuring the team delivers accurate, timely, and compassionate administrative support to clinical staff and patients, while maintaining consistency in processes, quality, and compliance across a remote-first team. This is a distributed, video-conference-based team, so the Supervisor should be comfortable managing remote performance, engagement, and workflow consistency without in-person oversight.

This is a fully remote position. However, at this time we are only considering applicants in the following states: California, Georgia, Texas, Arizona, Colorado, Florida, Illinois, Nevada, North Carolina, Oregon, Utah and Washington.

 

What You'll Do

  • Provide day-to-day supervision, coaching, and performance management for a team of CMAs/CCMAs

  • Monitor workload distribution and ensure timely completion of administrative and care coordination tasks

  • Serve as an escalation point for complex patient, provider, or interdisciplinary team issues

  • Partner with the Shared Services Manager to align staffing, processes, and priorities

  • Ensure team compliance with EMR/Vynca documentation standards and healthcare regulations

  • Conduct onboarding and ongoing training for new and existing team members

  • Track team metrics (e.g., call volume, turnaround times, authorization processing) and identify areas for improvement

  • Facilitate regular team meetings to ensure alignment with interdisciplinary care goals

  • Support hiring, performance reviews, and disciplinary actions as needed

  • Act as a liaison between the administrative support team and clinical/interdisciplinary staff

Your Experience and Qualifications

  • Current CMA/CCMA certificate issued by a recognized certifying body

  • 2+ years of previous clinical or healthcare administrative experience in a supervisory capacity

  • 1+ years of insurance and billing experience

  • Demonstrated experience managing or mentoring a remote or distributed team

  • Willing and able to work Monday–Friday, 8:30am–5:00pm Pacific Time, with occasional overtime (as needed)

  • Excellent oral and written communication skills, with the ability to coach and give constructive feedback

  • Strong organizational and prioritization skills, with the ability to manage competing demands across a team

  • Proficiency with EMR systems, video conference platforms, and general computer/internet navigation

  • Ability to remain calm and solutions-oriented in complex or high-pressure situations

  • Strong collaborative mindset, with the ability to work across clinical and administrative functions
