Job description

GAI Consultants is looking for a candidate to assist the Project Manager throughout the project life cycle: establishing project budgets, reviewing and preparing the client invoices, coordinating accounts receivable and work-in-progress review, and review project financial performance. The candidate should have great analytical thinking, problem-solving skills and the ability to work within a team. This job can performed from any of GAI's office locations or remote.

General Characteristics:

  • Ability to complete complex client invoices.
  • Assists Project Manager throughout the project life cycle.
  • Responsible for personal task management and adherence to deadlines and scope.
  • Receives moderate supervision on work assignments.

Technical Responsibilities:

  • Participate in Project Financial Meetings on accounts receivable (AR), work-in-progress (WIP), and other applicable key performance metrics.
  • Project Setup and lifecycle maintenance in Deltek, including:
    • Creates Work Breakdown Structures
    • Inputs Budgets and saves backup
    • Review, verify, and file contracts
    • Create Billing Terms based on contract
  • Invoicing
    • Batching draft invoices by invoice week
    • Reference Invoicing Summary Report for budget and billing guidance
    • Review rates, costs, dates, factors, WIP, and comments for mischarges and errors
    • Mark up draft invoices for Project Manager review.
    • Complete all changes on draft markups accurately
    • Input WIP comments into system tools as needed
    • Confirm backup/status reports are attached as needed
    • Submit invoice to client per contract requirements
    • File emailed invoices in the project folder
  • Work-In-Process (WIP) Monitoring
    • Confirm with PM when WIP may be billed
    • Confirm status and amount of supplement or CO when applicable
    • Enter AR comments in Deltek for all past-due invoices.
    • Notify Management of potential and confirmed Write-offs
  • Accounts Receivable (AR) Collection
    • Utilize system tools to conduct AR follow-up in a timely fashion.
    • Maintains up-to-date AR comments in system tools.
  • Review and approve sub-consultant invoices.
  • Maintain appropriate documentation on projects.
  • Assist with training for new and existing staff.

Communication, Teamwork, and Leadership:

  • Work as part of a team and coordinates work with others.
  • Possess essential communication skills, verbally, in writing, and in presentations.
  • Actively participate in discussions and tasks.
  • Collaborate with internal and external teams.
  • Routinely interact with organizational leaders, clients, officials, contractors, and others.
