We deploy skilled transformer technicians and field crews to utility, industrial, and commercial job sites across the country. Our work keeps the power on โ€” and we need sharp, organized people behind the scenes to make that happen.

The Role

We're looking for an experienced Travel Planner & Administrator to own the full travel coordination function for our field service teams. This isn't a corporate travel desk job โ€” our crews move fast, job sites change, and priorities shift daily. You'll be the person who makes sure our technicians get where they need to be, when they need to be there, without the logistics becoming a problem.

Beyond travel, you'll provide direct administrative support to Operations and HR โ€” keeping records clean, communication moving, and the back office running smoothly.

What You'll Do

  • Book and manage all field technician travel: flights, hotels, rental vehicles, and per diem tracking across multiple active projects simultaneously
  • Handle last-minute changes, emergency deployments, and itinerary shifts quickly and without drama
  • Maintain real-time visibility into crew locations, travel schedules, and return timelines
  • Manage vendor relationships with hotels, airlines, and car rental agencies to hold corporate rates and service standards
  • Track travel spend by project code; flag overages and find cost savings where you can
  • Process and reconcile travel expense reports in coordination with Accounting
  • Provide administrative support to Operations and HR leadership โ€” scheduling, document management, correspondence, and records maintenance
  • Assist with onboarding logistics for new field hires, including travel-to-training coordination
  • Maintain crew rosters, project assignment logs, and internal operational databases
  • Keep office functions running: supplies, vendor accounts, filing, and general coordination

What You Bring

  • 3+ years of experience in travel coordination, administrative support, or operations in a field services, construction, energy, or similar project-driven environment
  • Proven ability to juggle complex, multi-person travel logistics across multiple job sites at once
  • Proficiency with travel booking platforms (Concur, Egencia, Kayak for Business, or similar) and expense management systems
  • Strong Microsoft Office skills โ€” Excel, Word, Outlook, Teams
  • The ability to stay calm, organized, and effective when plans change fast
  • Clear communicator โ€” equally comfortable with field techs, project managers, and executives
  • High attention to detail and a track record of keeping confidential information confidential
