Job Description
The Specialist, Learning & Development - Training Operations is responsible for coordinating and executing the administrative, logistical, and operational processes that support YUSA's training and learning delivery system. This role ensures accurate scheduling support, registration processing, refunds, reimbursements, and event related administration in partnership with Learning Centers and internal YUSA teams. The Specialist plays a key role in maintaining reliable back office operations, supporting trainer and faculty coordination, and ensuring training activities are implemented consistently and efficiently. Operating within established processes and governance, this role helps enable high quality learning experiences across the YMCA network. This role ensures accurate scheduling support, registration processing, refunds, reimbursements, and event-related administration in partnership with Learning Centers and internal Y-USA teams. The Specialist plays a key role in maintaining reliable back-office operations, supporting trainer and faculty coordination, and ensuring training activities are implemented consistently and efficiently. Operating within established processes and governance, this role helps enable high-quality learning experiences across the YMCA network.
The Learning & Development (L&D) team drives organizational capability by designing and delivering learning experiences that build skills, strengthen leadership, and support career growth. We partner closely with business leaders to understand talent needs and develop programs that improve performance, engagement, and readiness for the future. Our work spans training strategy, instructional design, program management, facilitation, technology-enabled learning, and continuous improvement of our talent development ecosystem.

Qualifications
A successful candidate will possess a majority of the following professional attributes and competencies:
  • Bachelor's degree required in a relevant field such as Business, or related disciplines required.
  • 2-4 years of experience required.
  • Intermediate functional skills.
  • Some industry knowledge and experience.
  • Routine and advanced functional tasks.
  • Internal and external communication.

Essential Functions
  • Support training coordination and operational execution by managing administrative workflows related to course scheduling support, trainer and faculty communications, and training logistics in alignment with approved plans and defined governance standards.
  • Process registrations, payments, refunds, and reimbursements accurately and on time, partnering with finance, registration, and internal systems teams to ensure compliance with established policies and procedures.
  • Coordinate back office training operations including data entry, documentation, communications, and record maintenance to support accurate reporting and smooth delivery of learning activities.
  • Provide logistical and administrative support for national training events, including contract request coordination, travel and lodging support, materials fulfillment, registration monitoring, and post event processing.
  • Support instructor, trainer and faculty certification administration by assisting with application processing, tracking required retraining, maintaining records, and communicating routine status updates to trainers, faculty, and stakeholders.
  • Collaborate with Learning Centers and internal Y-USA partners to ensure accurate information flow, timely processing, and consistent service delivery across training operations.
  • Identify opportunities to improve efficiency and consistency within established training operations, processes, recommending enhancements while operating within defined standards and governance.
  • Provide general administrative and operational support to the Learning Centers function, including meeting coordination, scheduling, and other routine support activities as needed.
