What is a remote intake?

A Remote Intake job involves gathering and processing initial information from clients, patients, or customers for a company or organization, typically in industries like healthcare, legal services, or customer support. Responsibilities often include conducting interviews, verifying documents, and entering data into systems, all done remotely. Strong communication, attention to detail, and organizational skills are essential.

What are the typical responsibilities of a remote intake specialist during a standard workday?

Remote Intake specialists are primarily responsible for conducting initial client or patient assessments over the phone or through virtual platforms, collecting essential information, and documenting details accurately in digital systems. Their day often involves managing electronic forms, scheduling appointments, verifying insurance or eligibility details, and triaging inquiries to the appropriate team members. Successful specialists excel at multitasking, maintaining professionalism in virtual communications, and ensuring confidentiality with sensitive information. This role requires collaborating closely with various departments, such as clinical, administrative, or customer service teams, to ensure a seamless onboarding process for new clients or patients.

What are the key skills and qualifications needed to thrive in the remote intake position, and why are they important?

To thrive as a Remote Intake specialist, you need strong organizational skills, attention to detail, and experience in customer service or administrative roles, often supported by relevant education such as a high school diploma or higher. Familiarity with CRM systems, online scheduling tools, and secure data entry platforms is typically required, and experience with HIPAA compliance may be preferred in healthcare environments. Exceptional verbal and written communication skills, empathy, and the ability to handle sensitive information discreetly are crucial soft skills. These skills ensure accurate and efficient collection of client information, seamless remote interactions, and contribute to a positive first impression for the organization.

Job description

Legal Intake Pros is a dynamic and innovative company specializing in Intake Optimization for law firms. Our mission is to help law firms provide exceptional service to their clients by optimizing intake processes and ensuring compliance with industry standards. We achieve this through cutting-edge technology, expert coaching, and continuous quality control measures.
We're seeking a full-time remote Intake Success Coach to own a portfolio of law firm clients and drive real, measurable improvement in how their intake teams perform. This is a highly client-facing coaching and consulting role, not a behind-the-scenes training or quality-control position. You'll be leading coaching sessions, client leadership meetings, performance reviews, and strategic conversations directly with law firm owners and operations leaders.
You'll use call reviews, data analysis, and structured coaching to turn quality findings into behavior change, helping intake professionals build empathy, call control, objection handling, and follow-up discipline that convert more potential clients into signed cases. Every coach at Legal Intake Pros starts as a Junior Intake Success Coach and advances through a documented, competency-based career path.
Responsibilities
  • Build trusted relationships with law firm owners, operations leaders, intake managers, and intake specialists across your assigned client portfolio
  • Lead client leadership meetings, performance reviews, and escalation conversations with clear, evidence-backed recommendations
  • Prepare and facilitate structured coaching sessions using call reviews, role-play, teach-back, and follow-up audits to confirm behavior change
  • Coach intake professionals on active listening, call control, rapport, objection handling, one-call closes, and case disposition
  • Conduct call audits, QA reviews, Lead Docket analysis, and conversion trend analysis to identify root causes, not just surface-level activity
  • Translate quality and performance data into prioritized coaching strategies with clear owners, timelines, and measurable outcomes
  • Identify low-performing or at-risk firms and develop targeted intervention plans in partnership with your Manager
  • Document coaching observations, commitments, and follow-up actions accurately
  • Create or improve facilitation guides, SOPs, and client education materials as needed
  • Participate in calibration sessions and collaborate with Quality Control, Implementation, Client Success, and Operations teams

Requirements
What We're Looking For:
  • Bachelor's degree or an equivalent combination of relevant education and professional experience
  • Demonstrated legal intake experience, preferably within personal injury or closely related law firm operations
  • Experience coaching, training, auditing, supervising, or developing intake or client-facing professionals
  • Strong understanding of the legal intake journey
  • Experience analyzing performance data and using it to diagnose problems and change behavior
  • Excellent facilitation, written and verbal communication, active listening, and presentation skills
  • Ability to work independently, manage multiple client relationships, and meet deadlines in a fully remote environment
  • Working knowledge of CRM, quality-assurance, project-management, and video-conferencing tools
  • Genuine interest in a coaching, client-consulting, and performance-development function - client-facing work is a permanent part of this role

Bonus Points If You Have:
  • Personal injury or plaintiff law intake experience and fluency in Lead Docket or a comparable legal intake CRM
  • Experience leading performance conversations with law firm owners, operations leaders, or managers
  • Background in consultative sales, business development, client success, quality assurance, or conversion optimization
  • Experience conducting call calibration, developing SOPs or facilitation guides, and measuring training effectiveness
  • Knowledge of adult learning principles, behavior-change coaching, and remote facilitation best practices

Benefits
Why Join Legal Intake Pros?
LIP is a growing, fast-moving team doing meaningful work in a category we helped create. We help personal injury law firms sign more cases by transforming how they handle intake, and every person on our team feels the impact of that mission directly.
This is not a role where you blend into a department. You will work closely with the founder, see the full picture of the business, and have real ownership over your work from Day 1. We invest in our people, give direct feedback, and create space for growth for those who show up with initiative and care.
Benefits:
  • Remote-first
  • PTO and sick leave eligibility beginning at 90 days, plus 12 paid holidays
  • Company-sponsored professional development, including courses, certifications, and training
  • Virtual team events and workshops
  • A high-trust environment where your contributions are visible, and your growth is supported

Compensation & Growth: The base salary range for this role is $65,000 to $75,000, plus monthly and quarterly performance bonuses. Every coach at Legal Intake Pros starts as a Junior Intake Success Coach and advances through a documented, competency-based career path. Most coaches reach the top of the base range within their first one to two years through promotion, and with bonuses, our established coaches typically earn $85,000 to $100,000 in total annual compensation.
