Job Title: Payroll Coordinator Location: Pittsburgh, PA Type: Direct Hire Work Model: Hybrid – onsite and remote

Overview The New Hire Payroll Coordinator ensures the accurate and timely entry of new hires into the payroll system, manages the onboarding process, and maintains up-to-date employee records. This role plays a key part in supporting payroll operations by handling employee information, including direct deposit details, tax codes, and personal information, while ensuring compliance with company policies and applicable regulations.

Responsibilities

  • Oversee payroll-related aspects of the onboarding process, collecting necessary documentation and ensuring smooth integration of new employees into the payroll system.
  • Maintain the accuracy and timeliness of employee records, including personal information, tax codes, job-specific details (e.g., work location, pay rates), and other updates.
  • Review and verify documentation related to new hire onboarding, direct deposits, and tax forms for accuracy and compliance with company policies and legal requirements.
  • Collaborate with the HR and Operations teams to gather essential employee information and ensure consistency across data management processes.
  • Ensure all payroll data entries and updates comply with relevant federal, state, and local regulations as well as company policies.
  • Identify and resolve discrepancies from payroll processing errors to ensure payroll accuracy and reliability.
  • Respond to and resolve employee inquiries related to payroll records, onboarding issues, and system updates professionally and promptly.
  • Manage registration with local tax agencies to ensure compliance with regional tax requirements.
  • Identify opportunities to streamline and enhance onboarding and record-keeping processes to improve efficiency and accuracy.
Requirements
  • Experience with payroll and onboarding systems, including ADP and Bullhorn.
  • Strong understanding of payroll processes, tax codes, and compliance requirements, as well as technical knowledge.
  • Experience with multi-state payroll tax and wage laws.
  • Excellent attention to detail and organizational skills.
  • Ability to handle sensitive information with confidentiality and professionalism.
  • Strong communication skills, both verbal and written.
  • Proficiency in MS Office (Word, Excel, Outlook).
  • Previous experience in payroll or HR-related roles preferred.
