Job Title: Global Vet Support Specialist

Reports to: CEO

Status: Full-Time

Location: Remote, no travel required

Location Requirement: This position is fully remote; however, we are only able to consider candidates who are legally authorized to work in the United States at this time. Unfortunately, we are not equipped to provide international sponsorship or support for visas or work permits. Applicants must be currently residing in the U.S. and eligible for employment.

Video Prompt: What’s a habit, mindset, or routine you’ve adopted recently that’s made life easier or better?

We’d like to hear you talk briefly about a habit, routine, or mindset you’ve adopted recently that’s helped you work more effectively or feel more balanced. It doesn’t need to be technical or job-related.

We’re less interested in what you chose and more interested in how you reflect, learn, and communicate. Think of this as a casual check-in with a future teammate.

Need ideas? It could be a new way you organize your work, something you changed about how you manage your time, a mindset shift, or a small habit that’s had an outsized impact—at work or in your personal life.

How to share: Record using any method you like (your phone, Loom, etc.), and upload it to a platform of your choice (e.g., Loom, Google Drive, Dropbox, or YouTube set to “unlisted”). Then, include the link in your cover letter.

Your video will be reviewed by our hiring team and may be shared with relevant internal team members involved in the interview process. It will not be posted publicly or used outside of this process.

Regardless of the reason, our clients rely on us for peace of mind during these major life transitions.

Check out this short video to see why we love our jobs at PetRelocation.

ABOUT THE ROLE:

The Global Vet Support Specialist serves as the lead owner of veterinary documentation, regulatory compliance review, and government endorsement services for our Service team. This is a detail-heavy, autonomous role that requires strong decision-making, critical thinking, and high ownership.

You will collaborate primarily with Global PetRelocation Managers (our client-facing team), followed by veterinarians, veterinary clinics, and USDA officials to facilitate complex international pet moves. Your work ensures accurate, timely, and compliant preparation of health certificates and supporting documents, while proactively validating shipment eligibility and identifying risks that could impact travel timelines.

The Vet Support Specialist serves as an internal subject matter resource on veterinary export requirements and shipment eligibility, helping identify compliance risks before they impact move timelines.

This role is ideal for someone who thrives in a fast-paced environment, enjoys managing intricate, multi-stage regulatory and documentation processes from start to finish, and brings a mindset of continuous improvement. We're looking for someone who not only completes tasks with precision but also seeks opportunities to refine workflows and enhance systems—for the benefit of our internal team, our clients, veterinary clinics, and USDA partners. This position requires significant research and the ability to navigate nuanced logistical considerations, as veterinary health requirements often dictate when a move can occur. You will work independently the majority of the time, using sound judgment to make decisions, resolve issues, and move work forward without requiring constant direction.

Essential Duties and Responsibilities:

Manage Pet Records and Government Endorsements

  • Interpret and validate incoming pet vaccination records, and request additional information or corrections as needed based on destination country requirements
  • Identify and correct issues in vaccination records or documentation presentation to ensure they meet the specific formatting and regulatory requirements of each destination country
  • Validate shipment eligibility requirements, including rabies vaccination timing, microchip sequencing, destination-specific regulatory windows, and other shipment eligibility criteria, and proactively identify risks or delays
  • Proactively identify compliance risks and prevent downstream delays through early validation and coordination
  • Coordinate with veterinary clinics and USDA officials for endorsement of international health certificates (VEHCS and physical submissions)
  • Coordinate shipping logistics and track documentation for vet packs (including health documents and other important information), ensuring timely delivery to and from USDA and veterinary clinics
  • Submit digital documentation as required by local or international authorities

Create & Manage Timelines and Tracking Tools

  • Draft personalized pet vaccination timelines
  • Track and manage complex, multi-stage document and compliance workflows across USDA, veterinary clinics, laboratories, and internal teams (including country-specific sequences such as AU microchip verification, FAVN testing, and endorsement timelines)
  • Use tools such as Conga Composer, Adobe Acrobat, and other smart platforms to streamline documentation, ensure accuracy, and reduce manual entry
  • Maintain and audit Salesforce pet and veterinarian records, ensuring accuracy, completeness, and alignment with regulatory requirements

Provide Guidance at Vet Appointments

  • Guide veterinarians and pet owners on completing international health certificates
  • Provide tailored appointment checklists and step-by-step instructions
  • Coordinate time-sensitive treatments (e.g., tapeworm and other pre-travel requirements) within strict regulatory windows and confirm completion with veterinary clinics
  • Be accessible during appointments to answer questions and ensure regulatory compliance
  • Introduce Vet Support services to clients at key milestones (e.g., prior to final vet visit) in partnership with the assigned Global PetRelocation Manager, providing clear instructions, expectations, and checklists

Contribute to Process Improvement & Collaboration

  • Stay current with international pet travel regulations, destination requirements, and VEHCS updates, applying new guidance to operational workflows and documentation standards
  • Operate with a high level of autonomy to identify and recommend process improvements
  • Partner with internal stakeholders to align on system enhancements

General Duties

  • Maintain professional relationships with vet offices, USDA contacts, couriers, and internal teams
  • Use our CRM (Salesforce) to document actions, manage tasks, and execute structured handoffs (e.g., Chatter notifications) to internal teams at key milestones
  • Share insights, improvements, and suggestions with the team
  • Engage in vet and government training to stay informed and ensure accurate interpretation of evolving health regulations
  • Apply professional judgment when integrating complex or ambiguous requirements into operational workflows

REQUIRED BACKGROUND AND EXPERIENCE:

  • A continuous improvement mindset with a desire to make systems and processes more efficient, accurate, and scalable
  • Strong critical thinking and attention to detail
  • Excellent written and verbal communication skills
  • Confidence in making decisions with limited supervision
  • High comfort navigating changing requirements and ambiguity
  • Prior experience in logistics, documentation, veterinary services, or compliance roles is valued
  • Ability to manage timelines, prioritize tasks, and proactively prevent issues

PREFERRED QUALIFICATIONS:

  • Experience in remote environments and small business operations
  • Familiarity with Salesforce, VEHCS, and tools like Conga and Adobe Acrobat
  • Working knowledge of international documentation or regulatory standards
  • Associate’s or Bachelor’s degree (any field)

GROWTH POTENTIAL:

This role is intentionally designed as an entry point into the Global PetRelocation Manager (RM) career path for individuals who demonstrate strong execution, sound judgment, and an interest in how systems and processes support effective work and client-facing service. Progression is based on demonstrated readiness and business need, rather than a fixed timeline. With demonstrated performance, process ownership, and cross-functional collaboration, individuals in this role may be eligible to transition into an RM position within 1–2 years.

DIVERSITY & INCLUSION:

We believe that diversity of thought and experience strengthens our team and enhances our ability to serve our global clientele. We are committed to fostering an inclusive environment where all team members feel valued and empowered to contribute their unique perspectives.

PERKS & BENEFITS:

Work Life Balance

  • Open paid time off from the start, with a recommendation to take around two weeks during the first year
  • Paid holidays including your birthday

Benefits

  • Benefits (Medical, Dental, Vision) with company contribution
  • Telemedicine Medical Visits
  • Wellness Program with rewards
  • Ability to Contribute to your 401k account

Learning and Development

  • Opportunity to learn the foundational requirements for safely and successfully relocating pets around the world—knowledge that directly supports future success as a Global PetRelocation Manager (RM)
  • Exposure to the complexities of international logistics and regulatory frameworks in a truly global service environment
  • Experience that strengthens a candidate’s qualifications for future roles within international operations, compliance, client service, or logistics—especially in a global, service-based environment
