Job description

The Advisory Department of one of the fastest-growing accounting firms in the country is seeking an Executive Assistant who is motivated to learn, excited to collaborate and passionate about delivering outstanding results. This individual will have a direct impact on our firm's mission of serving as a catalyst for those striving to achieve their highest potential.
The Executive Assistant must maintain a mature, professional demeanor while projecting self-confidence when addressing questions and handling matters involving internal and external clients. This position manages a variety of tasks simultaneously and can anticipate the needs of others while constantly seeking opportunities to improve workflow and efficiencies for their assigned leaders and the Firm as a whole. This position performs administrative work of considerable difficulty which may involve critical thinking, problem solving and independent judgment. The Executive Assistant must also be able to manage projects, work independently with little or no supervision, and manage their time accordingly.
What You'll Do:
  • Provide administrative support to leaders in the Advisory business units working with their teams
  • Assist in the preparation of statements of work and engagement letters
  • Assist in maintaining the CRM database on behalf of Advisory leaders
  • Assist in managing calendars, tracking schedules, arranging travel, coordinating speaking and client engagements, etc. for respective Advisory leaders
  • Set up portals and manage document downloads
  • Prepare invoices, billing statements and maintain billing records
  • Process Firm correspondence
  • Complete onboarding steps for Advisory leaders
  • Proofread reports making necessary edits to formatting, punctuation, and grammar
  • Draft correspondence and other forms of documentation using the Firm's standardized formats
  • Serve as a liaison between Advisory leaders and respective client groups
  • Participate in various Firm initiatives to identify areas of improvement and to build efficiencies for the Firm as a whole
  • Work extended hours necessitated by workload
  • Other additional duties as assigned from time to time, including supporting other departments, as needed

What We're Looking For:
  • Communicate clearly and effectively in both written and verbal communications
  • Maintain a professional demeanor with co-workers and clients
  • Project a can-do, team-player attitude to cultivate productive working relationships within the Advisory Group and Firmwide
  • Possess critical thinking skills and exhibit sound judgment with the ability to prioritize and make necessary decisions
  • Anticipate the needs of respective Advisory leaders and take initiative to proactively work ahead
  • Manage day-to-day responsibilities as well as tasks assigned by Advisory leaders
  • Possess excellent writing, editing and proofreading skills exhibiting good attention to detail
  • Microsoft Office (Word, Excel, Power BI, PowerPoint, Outlook and Teams)

Your Qualifications:
  • High school diploma or equivalent required
  • 4 years of experience in a professional support role
  • Experience with Microsoft Office programs including Word, Excel, PowerPoint, Outlook, Power BI, and Teams- plus Adobe Acrobat and other digital tools

The stated pay scale reflects the range that Anders reasonably expects to pay for this position. The actual pay rate for this position will be dependent on a variety of factors, including an applicant's years of experience, unique skills and abilities, education, alignment with similar internal candidates, marketplace factors, other requirements for the position, and firm business practices.
Salary Range
$67,000-$75,000 USD
