Job Summary The Senior Executive Assistant will deliver exceptional, high‐level administrative support to the Founder/CEO and senior leadership team in a fast‐paced PR and crisis communications agency. This role demands a proactive, discreet, and highly organized professional who can manage complex schedules, coordinate high‐stakes logistics, and contribute to operational efficiency—allowing executives to focus on strategic client work, reputation management, and agency growth. Key Responsibilities Manage intricate executive calendars, scheduling client consultations, media briefings, crisis strategy sessions, internal leadership meetings, and external events across time zones; anticipate needs and resolve conflicts proactively. Arrange domestic and international travel, including flights, accommodations, transportation, detailed itineraries, and timely expense reporting for client meetings, industry conferences, media appearances, and speaking engagements. Prepare professional materials for executive use, including client presentations, crisis response plans, pitch documents, thought leadership content, reports, and meeting agendas while ensuring confidentiality. Serve as the primary gatekeeper for communications: handle incoming calls, emails, and inquiries from clients, media contacts, partners, and team members; prioritize urgent matters, especially during active crises. Maintain strict confidentiality with sensitive information, including client strategies, reputation issues, crisis details, contracts, and proprietary agency plans. Plan and execute agency events, client briefings, press events, team off‐sites, thought leadership webinars, and networking opportunities; oversee logistics, RSVPs, agendas, and follow‐ups. Support special projects such as research for client pitches, media monitoring overviews, competitive intelligence, or internal initiatives to enhance agency processes and thought leadership. Track deadlines, action items, key contacts, and deliverables; maintain organized digital and physical files for easy executive access. Provide occasional personal support to executives while respecting professional boundaries. Collaborate across the agency to ensure seamless support and alignment with team objectives. Qualifications Education: Bachelor's degree preferred in Business, Communications, or a related field; equivalent high‐level administrative experience accepted. Experience: 5+ years as an Executive Assistant supporting C‐level executives or senior leaders; experience in public relations, communications agencies, crisis management, or client‐services environments strongly preferred. Advanced mastery of Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and tools like Zoom, Teams, Google Workspace; familiarity with PR/media monitoring platforms is a plus. Superior organizational, multitasking, and detail‐oriented abilities, thriving under pressure and tight deadlines. Excellent written and verbal communication skills with a professional, polished presence suitable for high‐profile interactions.
