Job description

The big picture: Axios is a media company dedicated to providing trustworthy, award-winning news content in an audience-first format. We're hiring an administrative assistant to support the Executive Assistant to the Founders Office with the fast-moving personal, family, and logistical needs of Axios co-founders Jim VandeHei and Mike Allen.

Why it matters: This role will provide essential administrative support to the Founders Office, helping keep personal logistics, travel details, expenses, family needs, and other recurring tasks organized and moving with care, discretion and strong follow-through.

Go deeper: This is a full-time support role for someone who is energized by high-trust, high-context work and wants to grow in an executive support environment.

  • The puzzle: How do you help the Founders Office run more smoothly by taking ownership of the details that can otherwise slow the system down? Bonus: you're excited to use AI tools to make admin workflows smarter, faster and more organized.
  • The support: You'll report to the Executive Assistant and help create more capacity across the Founders Office by managing recurring logistics, personal tasks, family-related needs and administrative follow-through.
  • The mix: This role will include personal and family logistics, travel support, expenses, vendor coordination, errands, appointments, gifting, events and other administrative needs.
  • The pace: Jim and Mike move quickly, and their personal and professional logistics often overlap. The right person will be calm, organized and responsive as details shift, including occasional time-sensitive needs outside standard business hours.
  • The orbit: You'll work closely with the Chief of Staff and other key stakeholders around Jim and Mike, supporting the broader system that keeps the founders' lives and work moving.
  • The opportunity: This is a great role for someone earlier in their administrative career who wants to learn how a high-functioning executive office works and grow into broader administrative or executive support responsibilities over time.

Worthy of your time: Ideal candidates will embody a proactive, entrepreneurial spirit, demonstrate a passion for Axios' mission and have the following skills:

  • 1-3 years of administrative, executive support, family office, personal assistant or high-touch operations experience
  • Strong organizational skills and enthusiasm for managing logistics, including travel, expenses, calendars, reservations, appointments, errands and vendor coordination
  • Comfort handling personal and family-related logistics with discretion, maturity and care
  • Excellent attention to detail, especially when managing fast-changing schedules, travel plans and expense tracking
  • Strong written and verbal communication skills, with the ability to interact professionally with executives, colleagues, family members, vendors and external contacts
  • Ability to manage a high volume of tasks, prioritize effectively and follow through without constant direction
  • A customer-service mindset and willingness to jump in where needed
  • Sound judgment, discretion and integrity when handling confidential or sensitive information
  • Proficiency with Google Suite and comfort learning new tools
  • Interest in using AI tools to work smarter, move faster and improve administrative workflows
  • Event planning, hospitality, or complex travel coordination experience is a plus
  • Desire to grow into broader executive support responsibilities over time

Starting salary for this role is in the range of $25.00 - $30.00 per hour and is dependent on numerous factors, including but not limited to location, work experience, and skills. This range does not include other compensation benefits. Axios' compensation philosophy takes into account cost of labor differentials across the country. Because this is a remote-optional job posting, this salary range takes into account all possible locations within the United States, but candidates will only be eligible for the salary range for their location.

Axios is committed to embracing artificial intelligence as a core part of how we work. All team members are expected to actively develop AI literacy and use AI tools to enhance their productivity, creativity, and efficiency. We invest in ongoing learning to ensure every employee is equipped to responsibly and effectively integrate AI into their daily workflows.

What Axios brings to the table besides salary:

  • 401(k) with employer match
  • Robust PPO and high-deductible health insurance options on the Blue Cross Blue Shield network
  • Employer Health Savings Account (HSA) contribution for the high-deductible health plan option
  • Dental and vision coverage
  • Primary caregiver 12-week paid leave
  • Generous vacation policy, plus holidays
  • One mental health day per quarter
  • Annual learning and development stipend
  • $100 monthly work-from-home stipend
  • Tele-mental health services through Headspace
  • OneMedical membership, including tele-health services
  • Personal health advocacy resources through HealthAdvocate
  • Inclusive fertility, hormonal health and family forming benefits through Carrot Fertility
  • Access to the Axios "Family Fund", which was created to allow employees to request financial support when facing financial hardship or emergencies
  • Increased work flexibility for parents and caretakers
  • Virtual company-sponsored social events
  • A strong and positive work environment
  • A commitment to an open, inclusive, and diverse work culture
