Job description

We are hiring a full-time Remote Legal Assistant to be the organizational backbone of our legal team. This person will manage and maintain a real-time overview of all active cases, keep our attorneys’ calendars and deadlines airtight, handle e-filings, and proactively follow up with clients, courts, and outside parties.


The ideal candidate is exceptionally organized, meticulous, and takes pride in clean files, accurate calendars, and never missing a deadline. You will work 100% remote during California business hours (9:00 AM – 5:00 PM Pacific Time, Monday through Friday).


Compensation: $60,000 – $75,000 per year, depending on experience. Benefits include a comprehensive medical plan, 401(k), paid time off, and a work-from-home allowance.

Responsibilities:
  • Maintain a clear, real-time overview of all active cases and proactively follow up on deadlines, deliverables, and open items.
  • Manage attorney calendars, court dates, trial dates, and critical service deadlines—ensuring nothing falls through the cracks.
  • Electronically file documents with state courts via One Legal and other e-filing platforms.
  • Coordinate scheduling for mediations, depositions, hearings, Zoom meetings, and calls with opposing counsel and consultants.
  • Prepare exhibits for letters, motions, and briefs—including Bates stamping and labeling.
  • Prepare tables of contents and tables of authorities for law and motion papers and mediation briefs.
  • Organize digital case files—combining documents, adding bookmarks, and keeping discovery and client materials structured and searchable.
  • Review outgoing documents (pleadings, letters, briefs) for pagination, formatting, and grammar before they go out.
  • Check in with clients regularly with procedural updates and confirm we have what we need from them.
  • Manage email—filtering, filing, and tracking electronic service of court documents.
  • Coordinate with process servers and other outside vendors.
  • Interact with courts and administrative agencies on hearings, motions, and appearances—becoming the courts’ primary administrative point of contact with the firm.



Qualifications:
  • 3+ years of experience as a Legal Assistant or Paralegal.
  • Paralegal experience and/or a paralegal certificate are a plus.
  • Working knowledge of California real estate law and court procedures (state and federal).
  • Demonstrated ability to manage complex administrative tasks, maintain proper documentation, and meet deadlines.
  • Exceptionally organized and meticulous, with strong attention to detail.
  • Confidently managing multiple cases at once and maintaining a clear overview of where every matter stands.
  • Proactive communicator—comfortable following up with clients, opposing counsel, courts, and vendors.
  • Skilled at standardizing procedures and building systems that help everyone stay organized and in control.
  • Experience with e-filing platforms (One Legal or similar) and legal calendaring.
  • Tech-savvy and fully comfortable working remotely (Clio, Microsoft 365, Adobe, Zoom, and e-filing portals).
  • Available to work 9:00 AM – 5:00 PM Pacific Time, Monday through Friday.
