What You'll Actually Do

The Intake Specialist will serve as a non-clinical first point of contact for Utilization Management (UM) intake via phone, fax, portals, and electronic work queues.

  • Receive, document, and route authorization, pre-certification, and notification requests according to established workflows, timeliness standards, and regulatory requirements.
  • Collect, verify, and enter required non-clinical information (e.g., member demographics, provider/facility details, contact information, dates of service, service type) to initiate a request.
  • Review incoming requests for completeness; identify missing required elements and follow defined procedures to obtain allowable information and/or route to the appropriate clinical reviewer or department.
  • Perform accurate, timely data entry and maintenance of case records, notes, and attachments to support audit-ready documentation.
  • Communicate professionally with internal teams and external stakeholders (providers, facilities, members when applicable) to confirm receipt, clarify administrative details, and provide standard information about UM intake processes.
  • Maintain confidentiality and comply with HIPAA and minimum necessary requirements in all communications and documentation.
  • Meet established productivity, quality, and turnaround time standards; escalate issues, exceptions, or urgent items per procedure.
  • Professional phone presence; clear written documentation; ability to communicate process requirements to providers and internal teams.
  • Consistent, audit-ready data entry; careful review of request elements; strong follow-through.

QUALIFICATIONS:

Level I

  • High school diploma or equivalent required.
  • Experience: 0–1+ years in a customer service, call center, healthcare operations, or administrative support role preferred.
  • Strong attention to detail; basic computer proficiency; ability to type and navigate multiple applications; ability to learn UM intake processes and documentation standards.

Physical and Mental Requirements:

  • Ability to perform the essential job functions safely and successfully with or without reasonable accommodation, including meeting qualitative and/or quantitative productivity standards.
  • Ability to maintain regular, punctual attendance.
  • Ability to sit for 6-8 hours.
  • Constant use of computer keyboard and mouse; repetitive use of both hands.
  • Occasional to frequent twisting of neck; frequent bending of neck and at waist
