Job description

Boutique virtual assistance agency looking for Virtual Executive Assistant/Board Liaison to serve female-identifying writers focused nonprofit organization located in Washington. You will perform various executive administrative tasks, including managing emails, scheduling meetings and making travel arrangements. A large part of this role will be working with a diverse board of directors with complicated schedules and very little time. A strong Internet connection is required, along with experience using communication tools like Zoom and Google Meet. Ultimately, you should be able to handle administrative projects and deliver high-quality work under minimum supervision within given deadlines. An understanding of how to take board meeting minutes is required.

Ideal candidates will have 3+ years of EA experience. Project management experience. Non-profit experience.

Responsibilities:

  • Respond to emails and phone calls
  • Schedule meetings
  • Book travel and accommodations
  • Manage a contact list
  • Manage projects
  • Prepare customer spreadsheets and keep online records
  • Organize client's calendars
  • Perform market research
  • Create presentations, as assigned
  • Proactively address clients concerns
  • Provide customer service as first point of contact
  • Take board minutes
  • Attend leadership meetings with ED, take notes and send applicable action items

Skills:

  • Proven experience as an assistant working remotely or relevant role
  • Familiarity with current technologies, like desktop sharing, cloud services and VoIP Google Suite
  • Knowledge of online calendars and scheduling (e.g. Google Calendar, Calendly, etc)
  • Excellent phone, email and instant messaging communication skills
  • Excellent time management skills
  • Top-notch organizational skills
  • Passion for learning new/skills/platforms
  • Ability to excel in an autonomous environment
  • High school diploma required; additional qualifications as an Administrator or Executive Assistant are a plus
  • Previous experiencing assisting C-Suite executive or Executive Director (nonprofit)

Experience with boards and nonprofit clients/support critical for success in this position.

Availability for occasional travel to Washington ideal (2-3x/year)

Average of 30-35 hours/week - on call availability preferred

  • 1099 contractor
  • Hourly compensation: $22-$29/hour DOE
  • Candidates with the ability to travel to Whidbey Island, WA 2-3 times/year HIGHLY PREFERRED
