About the Role

The Centralized Administrative Specialist (CAS) supports multiple multifamily communities through centralized administration of resident records, collections, renewals, move-outs, and account resolution activities. This role helps ensure operational consistency, compliance, and a positive resident experience by executing high-volume workflows and partnering closely with onsite teams and business partners.

This is a fully remote role. Preference will be given to candidates who can work from regions that align with Fairfield's established market presence in the Central Time Zone. While several preferred markets are noted, only two positions are open.

What You'll Do

Below is a snapshot of what this role is all about. While there is more to it, this is the core focus.

Lease Administration & Resident Records

Audit lease documents and process lease changes.
Maintain accurate resident records and supporting documentation.
Validate lease terms, charges, concessions, and amendments.
Support compliance reviews, audits, and operational reporting.

Resident Support & Escalations

Handle lease, renewal, and account escalations through phone, email, and text.
Coordinate issue resolution with onsite teams and internal partners.
Document resident interactions and outcomes in company systems.
Apply professional judgment and de-escalation techniques when needed.

Collections & Account Management

Monitor delinquent accounts and communicate payment status updates.
Manage payment plans, notices, evictions, and collection activities.
Process ledger adjustments, subsidies, and third-party payments.
Maintain accurate account records and supporting documentation.

Renewals & Retention

Send renewal offers, track responses, and coordinate follow-up.
Process notices to vacate and support resident retention efforts.
Submit renewal increases to HAP providers for approval.
Partner with onsite teams to support occupancy and revenue goals.

Move-Out & Operational Support

Coordinate move-out administration, inspections, disputes, and documentation.
Review move-out charges, credits, refunds, and account balances.
Maintain system accuracy across platforms and workflows.
Support compliance, process improvements, AI communication updates, and continuous improvement initiatives.

What We're Looking For

Education & Certifications

High school diploma or equivalent required.

Experience

2-4 years of experience in property management, resident services, collections, leasing administration, or operations preferred.
Multifamily housing experience is strongly preferred.
Experience with property operations systems, payment tools, and AI-supported platforms preferred.

Lease Administration & Document Auditing: Ability to review, validate, and maintain lease documents, amendments, concessions, notices, and resident records with a high degree of accuracy while ensuring compliance with company policies and operational requirements.
Resident Account Management: Ability to understand resident ledgers, charges, credits, subsidies, payment activity, and account histories in order to investigate and resolve discrepancies effectively.
Collections Administration: Knowledge of delinquency management processes, payment plans, collections workflows, account follow-up procedures, and documentation requirements.
Renewal Process Coordination: Ability to manage renewal offers, resident responses, retention activities, notices, and approval processes while maintaining accuracy and timeliness.
Move-Out Administration: Ability to coordinate move-out documentation, inspections, disputes, forwarding addresses, refunds, final charges, and account resolution activities.
Attention to Detail: Consistently identifies errors, missing information, and inconsistencies in resident records, financial transactions, and operational documentation before they impact business operations.
Organization & Workflow Management: Ability to effectively manage high-volume administrative workflows, competing priorities, deadlines, and service requests across multiple communities.
Communication Skills: Strong written and verbal communication skills across phone, email, and SMS, with the ability to clearly explain information and maintain professionalism.
Customer Service & De-escalation: Ability to respond to resident concerns with empathy, professionalism, sound judgment, and appropriate resolution strategies.
Compliance & Regulatory Awareness: Working knowledge of fair housing requirements, company policies, resident documentation standards, and compliance-driven operational processes.
Operational Judgment: Ability to evaluate situations, apply established procedures, make informed decisions, and escalate issues appropriately when necessary.
Systems & Technology Proficiency: Ability to utilize property management systems, payment applications, AI-enabled platforms, Microsoft Outlook, Word, Excel, and related technology tools efficiently.
Collaboration & Partnership: Ability to work effectively with onsite teams, legal partners, vendors, and internal stakeholders to achieve operational objectives.
Accountability & Follow-Through: Demonstrates ownership of assigned responsibilities by completing work accurately, meeting deadlines, and ensuring issues are resolved through completion.

This position is non-exempt; the range above reflects hourly rates.

The pay range displayed for this position is determined by skills and experience required, location and job complexity*. Potential job offers may vary based on the skills, education, and experience an individual candidate holds. This range reflects base rate only, and does not include allowances, perks, commissions or bonuses applicable to this position (if any). In addition to base salary, Fairfield offers all full time associates the following, upon meeting eligibility requirements:
