Job description

Fleet Specialist
Restaurant Technologies, the leading provider of highly innovative and value-enhancing bulk cooking oil management services to the food service industry, is currently seeking a Fleet Specialist to join our growing and innovative team. This is an opportunity to make a significant impact, have direct exposure to key leaders in the organization, and partner with the National Fleet Manager and service providers in the administration, operation, compliance and maintenance of a fleet of more than 600 trucks & vans spread across 41 locations in the US.
Position Description
This position is responsible for providing national fleet support by partnering with Depot Leadership and Maintenance Providers to optimize fleet performance, maximize vehicle uptime, ensure regulatory compliance, and improve operational efficiency. This role applies technical expertise and independent judgment to evaluate maintenance strategies, determine repair priorities, manage vendor performance, and make operational decisions that balance safety, customer impact, and total cost of ownership.
Compensation:
The base salary range for this position is $70,000-$80,000 annually, plus a 10% bonus opportunity. Please note that the base salary will vary based on market conditions and the candidate's experience.
Location & Travel: this position is fully remote and can be located anywhere in the continental US. Expected travel will be up to 15%.
Key Responsibilities
  • Manage the operational performance of the company's national fleet by evaluating maintenance repairs, prioritizing repairs, and improving fleet reliability and compliance.
  • Identify opportunities to improve fleet maintenance processes, vendor performance, and overall fleet reliability through data analysis and operational recommendations to Fleet Leadership.
  • Develop and implement processes to streamline vehicle repair and improve preventative maintenance
  • Evaluate complex maintenance issues for tier 2 repairs and determine the most appropriate repair strategy while balancing vehicle uptime, operational impact, safety, compliance, warranty opportunities, and repair costs.
  • Direct maintenance providers on specific repair actions while maintaining a balance between uptime and spend
  • Manage vendor performance by evaluating repair quality, responsiveness, and cost effectiveness, and providing direction to maintenance providers to improve operational outcomes.
  • Manage a balanced preventive maintenance schedule and establish recovery efforts when off track.
  • Authorize maintenance expenditures within delegated authority, determine repair priorities, and escalate high-cost or business-critical decisions when appropriate.
  • Evaluate repair estimates, determine appropriate repair scope, maximize warranty recovery opportunities, identify missed warranty from maintenance provider(s), negotiate terms of policy assistance as needed
  • Manage accident repair activities by evaluating estimates and balancing repair quality, operational readiness, and cost.
  • Analyze fleet performance and recurring component failures, recommend corrective actions, and escalate systemic or high-risk issues to the Fleet Manager as appropriate
  • Coordinate expediated parts orders, technical and field support, as needed
  • Monitor and expedite vendor campaigns
  • Negotiate, secure, and track maintenance provider credit memos to maximize cost recovery
  • Review and code invoices to ensure damage and maintenance repairs are accurately coded.
  • Support Safety and DOT Compliance Team with hardware support
  • Other fleet department activities as assigned

Position Requirements
  • Minimum of 5 years of fleet administration or related experience
  • Full understanding of FMCSA and DOT Regulations
  • Ability to manage repairs for a 24/7 operation and be available to make decisions and provide support
  • Ability to effectively work cross functionally with remote business partners
  • Demonstrated ability to exercise independent judgment in evaluating maintenance strategies and operational priorities.
  • Ability to analyze complex operational issues and develop recommendations that improve fleet performance, compliance, and cost effectiveness.
  • Mechanical aptitude to understand and explain the fleet, fleet components and fleet management systems
  • Strong organization and time management skills and ability to handle multiple projects simultaneously with great attention to detail, meet deadlines and work independently
