The Program Specialist works directly with principal investigators to carry out administrative functions related to sponsored grants, agreements and/or award management. They will advise on pre-award issues, as well as review, approve, and negotiate grants, contracts, and agreements on behalf of the institution, and are responsible for reviewing work submitted from campus partners prior to submission to sponsor for consideration. The position ensures proposal and award compliance with laws, regulations, policies, and terms and conditions, including 2 CFR 200, Uniform Guidance. Under the direction of the Director of Grants and Research, the Grants and Research Program Specialist works in the Office of Grants & Research (OGR) and will assist with all office activities and functions.

Key Job Responsibilities:
  • Work with the Office of Grants and Research team members in all aspects of proposal and budget development and management, including:
    • Assisting in facilitating team formation, conceptualization, writing and review of individual and collaborative grant proposals aimed at addressing institutional strategic initiatives
    • Working with faculty, staff, and administrators to improve grant seeking and writing skills including developing and conducting proposal development trainings, workshops, and web based support materials to improve grant seeking and writing skills
    • Researching, identifying, and disseminating information on funding sources (e.g., internal system, federal, state, and private) related to project/research ideas/interests (to individuals, groups, or entire campus as appropriate)
    • Assisting with all aspects of budget development and budget management, including some oversight and consultation with both sponsored and non-sponsored budgets.
  • Assist UW-Green Bay's Continuing Education and Workforce Training unit in all aspects of proposal and budget development and management, including:
    • Coordinating all aspects of proposal submissions, including assistance with research, data collection methods, writing, editing, budget development, goals, objectives, outcomes, and/or other supporting materials
    • Developing budget models as well as drafts of grant budgets and budget justifications
    • Reviewing, interpreting, negotiating, and processing complex extramural award and subaward documents, proposals, and agreements according to established policies and procedures to adhere to timelines and meet unit objectives
    • Coordinating with appropriate university offices and staff to promote federal, state, Universities of Wisconsin and institutional policy compliance, including initial review of all contracts and agreements and facilitating campus response with appropriate offices
    • Assisting with post-award grant spending and review.

Compensation:

Minimum compensation of $57,394.

This position is exempt from the overtime provisions of the Fair Labor Standards Act (FLSA).

Required Qualifications:
  • Individual and team-based problem-solving and decision-making skills
  • Experience in proposal writing or relatable professional/technical writing, and editing/proofreading
  • Comfortable working with numbers and using Microsoft Excel (formulas and spreadsheets) and Office Suite to assist with grant budgeting and financial tracking
Preferred Qualifications:
  • Bachelor's degree
  • Experience in grant writing, administration, and/or budget development
  • Familiarity with funding search resources and experience in conducting funding searches
  • Presentation skills (one-on-one, small groups, and/or large groups)
  • Experience with private and corporate foundations
  • Knowledge and understanding of contracting and/or federal research compliance regulations
  • Experience in educational settings (preferably postsecondary)
Conditions of Appointment:

This position may have the option to work on-campus, a hybrid schedule, or fully remote subject to approved telecommuting request.

The home campus of this position is Green Bay and the successful candidate may occasionally be required to travel to or work at the Marinette, Sheboygan or Manitowoc Campus, based on operational needs.

Position is a full-time Academic Staff appointment. A pre-employment education check which includes, but is not limited to, the verification of academic credentials will be conducted on the finalist(s). A criminal conviction investigation will be conducted on the finalist(s) and if there is prior work history within the last 7 years with Universities of Wisconsin, a personnel file review check for employee misconduct. Benefit Details

The Universities of Wisconsin provides an excellent benefits package to meet the diverse needs of its employees. We participate in the Wisconsin Retirement System (WRS), where employer contributions begin immediately, and employees are fully vested after 5 years of service. In addition, eligible employees receive several types of paid leave benefits, which are prorated for employees working less than 100%. This includes 9 legal holidays, 36 hours of personal holiday and between 96-130 hours of sick leave annually and paid parental leave.
