Job Description:

As a vital member of our growing team, you will play an essential role in driving our company's continued growth and success. This remote, part-time position requires expertise in accounting, accounts payable and receivable, business maturity, and initiative. 

Responsibilities: 

  • Use critical thinking and look for opportunities for automations and process improvements to increase efficiency and accuracy 

  • Data entry of projects, estimates, invoices, POs, and bills into our accounting system. 

  • Preparing and creating invoices tailored to each client's specific submittal requirements. 

  • Handling sensitive and confidential information with discretion and professionalism. 

  • Facilitating payments to vendors following approval by executive management. 

  • Managing vendor insurance, agreements/contracts, and compliance with applicable laws. 

  • Following up on past due invoices by sending reminders and statements to customers. 

  • Accurately applying payments and expenses within our internal accounting system. 

  • Managing QuickBooks Time project input and closeout, including jobs reports and audits on project hours. 

  • Assisting with invoicing, loan draws, lien waivers, and preliminary tracking, and balancing all projects in QuickBooks/Intuit Enterprise Suite. 

  • Integrate Construction Management software  with QuickBooks to ensure seamless and accurate data flow across all projects. 

  • Preparing revenue projections and forecasting expenditure. 

  • Completing the monthly closeout process by reconciling all bank, loan, credit, and QuickBooks accounts for all entities within fifteen days of month-end. 

  • Monitoring budgets and assisting with tax return preparation. 

  • Contributing to the development of new or amended accounting systems, programs, and procedures. 

  • Providing executive management with weekly reports on the current AR/AP, Balance Sheets, Profit & Loss, Budget vs. Actuals, Cash Flow, and Purchase Orders status for all entities. 

  • Preparing financial analysis and reports within fifteen days of month-end and end of year. 

  • Maintaining and reconciling balance sheet and general ledger accounts. 

  • Investigating and resolving audit findings, account discrepancies, and issues of non-compliance. 

  • Continuously learning and expanding knowledge in Intuit Enterprise Suite functionalities and integrations with other software. 

  • Performing other responsibilities and duties as assigned. 

Qualifications: 

  • Education: Bachelor’s Degree in Accounting or Finance highly preferred. 

  • 5 years of accountant experience. 

  • Strong background and experience in automation and software efficiency.  

  • Strong and accurate data entry proficiency with the ability to type 80+ WPM. 

  • Proficiency in Microsoft Word, Excel, and Outlook. 

  • Ability to learn new computer software quickly. 

  • Demonstrated experience and proficiency with Intuit Enterprise Suite, Sage CM, Excel/Smartsheet. 

  • Strong oral and written communication skills. 

  • Ability to accurately analyze information and make sound decisions. 

  • Ability to interface effectively and collaborate with clients, peers, and management. 

Compensation:  

Pay Bands: $27.50-$37.50 per hour depending on experience and productivity.
