Job description

The Administrative Assistant plays a critical part in our tax preparation and fulfillment departments. You will manage the tax preparation workflow, ensuring that tax preparers are completing tax returns in a timely manner, and you will assist case managers to ensure nothing falls through the cracks.

This is not an entry-level position. We are looking for a self-motivated, entrepreneurial individual with a proven track record of administrative excellence who is ready to contribute from day one, handle greater responsibility, and grow with us long-term.

Key Responsibilities:

  • Workflow Management: Manage the tax preparation department workflow by assigning tax returns to preparers once the account manager provides all requested documentation from the client.

  • Data Tracking: Ensure the tax preparation spreadsheet is accurately updated on a daily basis.

  • Department Support: Assist the fulfillment department by actively supporting case managers and ensuring seamless operations.

  • Organization: Assist with document filing and maintaining organized records.

Requirements:

  • Experience: Minimum 3 years of proven Administrative Assistant experience.

  • Technical Skills: High proficiency in Microsoft Office, with exceptional skills in Outlook, Teams, and Excel.

  • Work Ethic: Highly organized, detail-oriented, and capable of self-managing in a fully remote environment.

  • Communication: Excellent written and verbal communication skills.
