Kaiva Tech, LLC is seeking part-time Technical Writer.

Summary Overview:

The Office of Integrated Food Safety System Partnerships (OIFSSP) leads the Human Foods Program's activities to strengthen an integrated food safety system including the implementation of seamless partnerships and operations among federal, state, local, territorial, tribal and international agencies. OIFSSP is directly accountable to the FDA Deputy Commissioner for Human Foods and is responsible for integrating the efforts of all food-related programs across the Agency and for optimizing the use of available resources and methods to enhance the safety, nutritional quality, and labeling of the nation's food supply. Additionally, the office fulfills a critical role in the planning and implementation of recommendations stemming from the Department of Health and Human Services (HHS) Secretary's Making America Healthy Again (MAHA) initiatives. Through these efforts, OIFSSP ensures productive collaboration with both internal and external stakeholders, providing the support necessary to fully realize the Agency's public health objectives.

The technical writer will develop, revise, and maintain documentation for operational and programmatic requirements to support various program initiatives of OIFSSP, with primary focus on the Better Regulatory Inspections for Dynamic Government Efficiency (BRIDGE) and Time/Temperature Control for Safety (TCS) retail food program.

Leveraging strong written and verbal communication skills, the technical writer will support: 1) documentation, including briefing materials, guidance documents, training materials, technical reports, standard operating procedures, and educational resources; 2) stakeholder communication, including Materials that communicate technical and regulatory information to various audiences including regulatory partners, industry stakeholders, and other interested parties; and 3) other written materials defined during the engagement.

Essential Duties and Responsibilities:

· Edit, review, and proofread regulatory, technical, policy, procedural, and administrative documents for accuracy, clarity, consistency, grammar, and compliance with organizational standards.

· Ensure documents conform to applicable federal regulations, agency directives, legal requirements, and established editorial style guides.

· Verify consistency of terminology, formatting, citations, references, numbering, and document structure across complex documentation sets.

· Collaborate with subject matter experts (SMEs), program managers, and technical staff to clarify technical content and regulatory requirements.

· Translate complex technical and regulatory information into clear, concise, and audience-appropriate language without altering technical accuracy or legal intent.

· Review documents for completeness, logical organization, readability, and alignment with intended purpose and audience.

· Maintain document quality throughout the review, revision, approval, and publication lifecycle.

· Apply version control and document management practices to ensure traceability, configuration control, and accurate revision histories.

· Manage multiple editing assignments simultaneously while meeting project deadlines.

· Ensure document compliance with accessibility and security requirements.

· Support document review cycles by incorporating stakeholder comments, reconciling conflicting feedback, and documenting editorial decisions.

· Conduct quality assurance reviews to identify inconsistencies, omissions, formatting errors, and compliance risks before publication.

· Develop, maintain, and update document templates, style guides, editorial standards, and writing best practices.

· Ensure consistency across related documents, including regulations, guidance documents, standard operating procedures (SOPs), manuals, reports, and technical specifications.

· Coordinate document routing, approvals, and publication activities using established workflows and document management systems.

· Verify the accuracy of cross-references, hyperlinks, appendices, figures, tables, and citations.

· Edit documents to ensure compliance with plain language principles while preserving technical integrity.

· Maintain confidentiality and appropriately handle sensitive, controlled, or proprietary information.

· Assist authors in interpreting editorial standards, formatting requirements, and document preparation procedures.

· Ensure published documents meet organizational branding, formatting, accessibility, and publication requirements.

· Perform additional technical writing, editing, and documentation support duties as assigned.

Required Experience and Skills:

· Minimum of three (3) years of progressively responsible experience as a Technical Writer, Technical Editor, Regulatory Writer, or Documentation Specialist.

· Experience editing and maintaining complex technical, regulatory, policy, procedural, or administrative documentation in a highly regulated government, defense, healthcare, energy, financial services, or similarly regulated environment.

· Demonstrated experience reviewing documents for compliance with organizational standards, regulatory requirements, and established style guides.

· Experience collaborating with subject matter experts (SMEs), program managers, and cross-functional teams to develop and refine technical documentation.

· Experience managing multiple document review cycles, incorporating stakeholder feedback, and meeting competing deadlines.

· Experience using document management systems, version control processes, and collaborative editing tools.

· Experience supporting document lifecycle management, including drafting, review, and approval.

· Experience maintaining document consistency across large documentation sets, including regulations, policies, procedures, manuals, guidance documents, and reports.

· Experience applying plain language principles while preserving technical accuracy and intent.

· Experience working with Microsoft Office Suite, particularly Microsoft Word's advanced editing, formatting, and document comparison features.

Required Equipment and Work Environment

· Must maintain a professional remote work environment that supports confidentiality and the secure handling of sensitive or controlled information.
