To thrive as a Remote Admin, you need strong organizational skills, attention to detail, and proficiency in administrative procedures, often supported by experience or a relevant degree. Familiarity with virtual collaboration tools, cloud storage platforms, and office software like Microsoft Office or Google Workspace is essential. Excellent communication, time management, and self-motivation help remote admins excel in independent and team-based tasks. These skills ensure efficient remote operations, reliable support to teams, and seamless workflow across digital environments.

What are Remote Admins?

Remote Admins, or Remote Administrators, are professionals who provide administrative support to organizations or individuals from a remote location. Their tasks often include managing emails, scheduling meetings, handling data entry, organizing files, and assisting with customer service or project management. Remote Admins use digital tools to communicate and collaborate with teams, making it possible to perform their duties effectively without being physically present in the office. This role is ideal for those who are organized, detail-oriented, and comfortable with technology. The flexibility of remote work allows businesses to access a wider talent pool and enables employees to work from anywhere.

How do Remote Admins typically stay connected and collaborate effectively with their teams?

Remote Admins often use a variety of digital tools to maintain efficient communication and collaboration with their teams, such as video conferencing platforms, instant messaging, and project management software. Regular virtual meetings and clear documentation help ensure everyone stays aligned on tasks and priorities. Building strong relationships remotely can be a challenge, but proactive communication and responsiveness make a big difference. Additionally, many organizations provide onboarding and ongoing support to help remote admins integrate seamlessly into their team structures.

As a remote admin, you address IT, computer, and software issues, as well as assist end users with technical difficulties, setting up new accounts, or integrating new pieces of software. Your duties include monitoring system operations and efficiency, working with IT admins and developers to improve security systems, and contributing to risk mitigation strategies. You also provide system support, remote network setup, and diagnostic help. You may work from home or another location outside of a traditional office setting and use email, phone, text, or video chat to perform your responsibilities.

About the Role

The DIFM Marketing Admin (MAD) is an essential part of FMGโ€™s Concierge Services team, supporting advisors who rely on FMG to execute their marketing for them. This role sits behind the scenes โ€” building and publishing content, keeping calendars running on time, solving client problems, and making sure every DIFM memberโ€™s digital presence stays polished and consistent.

MADs work alongside DIFM Concierges to handle the operational side of marketing execution: website edits, content scheduling, calendar coordination, and real-time client support. The work is detail-oriented, deadline-driven, and deeply tied to client outcomes. Getting it right every month, across dozens of clients, requires someone who is organized, proactive, and takes real ownership of the work they touch.

The right person for this role is resourceful, tech-savvy, and genuinely energized by finding smarter ways to get things done. You donโ€™t wait to be told thereโ€™s a better approach โ€” you find it.

We are looking for people who already use AI in their daily lives and are excited about what it can do. Whether that is drafting faster, researching smarter, or just finding a better way to get something done, that instinct translates directly to this role. At work, AI tools will be a regular part of your day, with clear guidance from leadership on how and where to apply them.

Beyond the day-to-day, we want people who stay curious. If you spot a way AI could make something faster, easier, or better for clients, say so. That kind of thinking is exactly what FMG is building toward, and the people closest to the work are often the first to see where the opportunities are.
Youโ€™re the kind of person who gets things done quietly and well. You take ownership of your work, ask good questions when you need to, and donโ€™t need a lot of hand-holding to stay on track. You care about the client experience, and it shows.

Compensation This position offers $40,000-$45,000; depending on experience and skill set. Primary Responsibilities & Expectations
Content Scheduling & Execution
  • Schedule monthly marketing calendars for DIFM clients โ€” blogs, emails, and social media posts โ€” on time, every month.
  • Schedule custom blogs, emails, and social media posts as requested.
  • Schedule social assist posts on a weekly cadence.
  • Assist with calendar execution and coordination alongside the broader Concierge team.
Website Support
  • Complete website edits on behalf of DIFM clients.
  • Coordinate with developers on more complex website changes.
Client Support
  • Provide timely, helpful support to clients through live chat.
  • Address questions related to products, services, and general company information.
  • Escalate complex issues to the right people quickly and cleanly.
General
  • All other duties as assigned.
  • Access to a private & secure workspace, free from distractions
  • Accessible during the assigned work schedule for regular duties and responsibilities as outlined by the supervisor
  • An internet connection with speeds of 5 Megabits down / 3 Megabits up (5mbps/3mbps)
Skills and Qualifications
  • Experience in a client-facing or marketing operations role, preferably in a SaaS or digital services environment.
  • Familiarity with content scheduling, website management, or digital marketing workflows.
  • Comfortable picking up new tools and technology quickly โ€” you donโ€™t need everything handed to you.
  • Experience with HubSpot preferred but not required.
  • Excellent written and verbal communication skills.
  • A proactive problem-solver with strong critical thinking skills โ€” you dig for the right answer and ask for help when you need it.
  • Quick learner who adapts easily to changing environments and new tools.
  • Able to work independently and collaboratively depending on what the moment calls for.
  • A true passion for exceptional client service โ€” you actively look for ways to make every interaction positive and memorable.
  • Listens carefully and works collaboratively to help anyone who needs it.
  • Caring, positive, and adaptable โ€” you stay supportive even when things get stressful.
  • A self-directed learner who takes initiative.
  • Proficiency in English (speaking, understanding, reading, and writing) required.

At FMG, we believe in the wholehearted acceptance of each other regardless of our differences. We strive to foster an environment that allows everyone to contribute to our mission in their unique ways. With the belief that diversity propels innovation, we are continually finding ways to cultivate a commitment to inclusion in our employees, services, and products, as well as in the communities in which we live and work.ย

We are proud to be an equal opportunity employer committed to providing employment opportunities regardless of sex, race, creed, color, gender, religion, marital status, domestic partner status, age, national origin or ancestry, physical or mental disability, medical condition, sexual orientation, pregnancy, military or veteran status, and genetic information.ย  If you require accommodation to complete the application or interview process, please contact peopleteam@fmgsuite.com.
