Job description

The Accounting Specialist is responsible for managing high-volume invoicing activities primarily supporting government and other contract-based clients. This role ensures accurate and timely billing, revenue recognition, contractor payments, third-party invoice processing, and month-end reconciliations. The ideal candidate is highly organized, detail-oriented, and capable of managing multiple priorities in a fast-paced environment while maintaining a high level of accuracy.


  • Process and manage high-volume customer invoicing, reporting, and collections activities.
  • Perform month-end close activities, including work-in-progress (WIP) accrual calculations, reporting, and reconciliations.
  • Calculate and process sales commissions and enter job-related costs through Accounts Payable and Payroll systems.
  • Maintain a thorough understanding of applicable customer contracts, billing requirements, and rate structures.
  • Perform shipment rating calculations for interstate and intrastate moves.
  • Support invoicing activities for interstate, international, GSA, U.S. Department of State, and other government accounts.
  • Conduct job costing analysis, billing research, and resolution of customer inquiries.
  • Utilize transportation and payment platforms, including Syncada and DPS, to process electronic fund transfers and related transactions.
  • Prepare driver manifests and process contractor settlements accurately and in a timely manner.
  • Reconcile revenue and expense transactions to ensure proper accounting period recognition.
  • Collaborate with operations, accounting, and customer service teams to resolve billing discrepancies and improve processes.
  • Assist with special projects and other duties as assigned.

  • Associate's or Bachelor's degree in Accounting, Finance, Business Administration, or a related field preferred.
  • 1–3 years of experience in accounts receivable, accounts payable, billing, invoicing, or a related accounting function.
  • Experience supporting government, international, transportation, relocation, or logistics accounts preferred.
  • Ability to obtain and maintain required government security clearance.
  • Strong mathematical, analytical, and problem-solving skills, including experience with job costing and financial reconciliations preferred.
  • Advanced proficiency in Microsoft Office applications, particularly Excel, Word, and Outlook.
  • Highly organized and detail-oriented, with the ability to manage multiple priorities and meet deadlines in a fast-paced environment.
