Job description


JOB SUMMARY:

The Registration Coordinator is responsible for assisting with registration and registration-related administrative processes and maintaining the high standard of MJCCA’s customer service. This role works closely with multiple departments – including programming, accounting, and information systems – to troubleshoot any issues that may arise both internally with staff and externally with members and program participants. The position is full-time, 40 hours per week, occasionally requiring weekend hours.


The ideal candidate has strong critical thinking skills, picks up new software and complex processes quickly, and is comfortable with multi-tasking. This individual is detail oriented, dependable, highly proficient with computers, and is a pro at customer service.


FUNCTIONS:


  • Work closely with programmers and ensure that both program information and registrations are entered accurately into/processed in our CRM.
  • Maintain accurate program information, updating as requested by programmers and marketing.
  • Process payments for registrations (online, cash, and checks) and communicate outstanding balances and payment plans to participants as necessary.
  • Manage changes to program registrations, including proration, discounts, and financial assistance.
  • Handle all participants’ personal and financial information with the highest level of confidentiality.
  • Communicate changes, issues, or requests to the appropriate internal department.
  • Work with the accounting department to ensure financial information is properly tracked and documented.
  • Assist members and participants with navigating the community website to register themselves for programs online.
  • Respond to all emails, phone calls, and other requests within one business day.
  • Take on projects as assigned.
