Job description

Job Summary:
Reporting to the Director of Executive Administration, we are looking for a detail-oriented and highly organized Licenses and Registrations Coordinator to manage the company's state business registrations, licensing, and regulatory compliance filings. This role ensures Momar remains in good standing in every state where it conducts business and keeps the company's commercial fleet compliant with state and federal filing requirements.
The ideal candidate is highly organized, deadline-driven, and comfortable independently tracking numerous recurring compliance obligations across multiple states and agencies. This role also provides back-up support for EPA product registrations, supports company-wide help ticket resolution as part of the Catalyst team, and facilitates Standard Operating Procedure (SOP) management and new hire training.
This is a full-time, in-person role based at the Atlanta, GA headquarters.
Business Registrations & Licensing:
  • Manage state business registrations, including initial filings, annual reports, and renewals, ensuring the company remains in good standing in all states where it conducts business
  • Manage agents of record for each state, including timely renewals and maintaining accurate registered agent information
  • Manage contractor licenses required in various states, tracking renewal deadlines, continuing education requirements, and required documentation
  • Manage truck and commercial vehicle registrations for the company's fleet, ensuring timely renewal in all applicable states
  • Prepare and file quarterly International Fuel Tax Agreement (IFTA) reports
  • Prepare and file annual Unified Carrier Registration (UCR) filings
  • Serve as back-up support for EPA registration renewals and new registration requests, assisting with documentation and deadline tracking
Other Responsibilities:
  • Facilitate maintenance of existing Standard Operating Procedures (SOPs), ensuring documents remain current, accurate, and properly version-controlled
  • Facilitate SOP training for new hires, including scheduling sessions, tracking completion, and coordinating with department leads
  • Serve as a member of the Catalyst team, monitoring the Help@Momar ticket queue, distributing tickets to the appropriate departments, and following up to help ensure timely resolution
Education and/or Experience:
  • High School Diploma or Equivalent required; Associate's or Bachelor's degree preferred
  • 2+ years' experience in administrative role
  • Experience with state business filings, registered agent management, or fleet/DOT compliance preferred
  • Proficiency in Microsoft Office Suite
  • Must be highly organized with strong attention to detail and the ability to manage multiple recurring deadlines across jurisdictions
