Responsibilities

The Assistant Branch Manager provides administrative support to branch personnel and corporate operations. Assist upper management by offering insights to enhance branch productivity, interpreting operating policies, and exercising independent judgment in resolving administrative challenges. 

  • Tracks scheduled work and maintains awareness of open work order statuses. 

  • Provides direct oversight to the branch, including mentoring, training, and offering input on hiring and terminations. 

  • Makes independent decisions on day-to-day operational matters that do not require team consultation. 

  • Monitors daily procedures and customer interactions. 

  • Builds and maintains strong relationships with customers through effective communication. 

  • Coordinates with the Billing Manager to ensure accurate creation and processing of work orders. 

  • Prepares work orders for billing, including submitting PMs and quoted jobs to the billing department. 

  • Approves all technician time entries for assigned branches. 

  • Reports daily billing totals to assigned Branch Managers. 

  • Manages purchase orders and requisitions, receives vendor invoices, and processes requisitions as needed. 

  • Encourages team members to identify opportunities for process improvement and simplification. 

  • Supports the Senior Management team as needed. 

  • Embodies the CoolSys CARES culture (Collaboration, Accountability, Respect, Empowerment, Safety). 

  • Performs other duties as assigned. 


Qualifications

Education / Training 

  • High school diploma or equivalent is required 

  • A Bachelor’s degree in Business, Marketing, or a related field is preferred. 

Work Experience / Skills 

  • Previous experience as an Administrator is required 

  • Relevant industry experience in HVAC, plumbing, or construction is highly preferred 

  • Ability to read, write & speak English proficiently. 

  • Strong communication and internal/external customer service skills 

  • Proficiency with computers (Microsoft Excel) and ability to learn new software 

  • Able to work in a fast-paced environment and multitask 

  • Strong attention to detail is required 

  • Ability to understand and follow all company policies and procedures and all applicable State and Federal laws.  

  • Ability to use typical business tools including E-Mail, Word, Excel, etc.
