Responsibilities

Summary:The Referral Coordinator works closely with the facility providers and Health Services Administrators/designee to ensure all specialty consultation referrals (medical, dental and specialty referrals) approved by the Utilization Review Committee are scheduled within the established guidelines with the appropriate community provider.

Primary Duties and Responsibilities:

  • The Referral Coordinator attends scheduled Utilization Review Committee (URC) meetings, tracking provider referrals discussed by the Clinical Director and treatment decisions to refer an inmate to a community specialty provider. Record treatment decisions from URC in the electronic medical record.
  • Serves as a liaison between the off-site specialty providers and the Health Services unit in the coordination of all specialty care, diagnostic testing and off-site referrals while maintaining compliance with the Health Insurance Portability and Accountability Act (HIPAA), Program Statements and GEO policy.
  • The Referral Coordinator schedules appointments with the community specialty provider, within the established timeframes (90-days for those determined routine and within 14-days for those determined Urgent), when approved by URC.
  • When possible and practical, appointments may be scheduled with the community provider via telehealth (follow up appointments, etc.). In these instances, the Referral Coordinator shall differentiate this type of appointment from community scheduled appointments when reporting to the Health Services Administrator (HSA) /designee, as it does not require any trip authorizations.
  • Routinely communicating with the HSA/designee of approved offsite appointments. This shall include inmates' name, date of appointment, type of appointment, address of the specialty provider, and any additional information needed (i.e., laboratory results, EKG, etc.) by the specialist to ensure all clinical orders are complete and accurate.
  • The Referral Coordinator schedules the development and maintenance of a monthly calendar identifying all off-site specialty appointments.
  • Tracking hospitalizations, which includes inmate name, reason, hospital, admission date, and release date.
  • Tracking of emergency department referrals, to include those transported by government vehicle or Emergency Medical Services. Provides in-depth pharmacologic and pharmacokinetic consults (verbal and written) when requested or when appropriate.
  • The Referral Coordinator develops the Monthly Statistical Reports to ensure GEO's commitment to operational excellence that include, scheduled and attended off-site appointments by the facility, scheduled and attended off-site appointments by provider, number of inmates hospitalized and average length of stay, number of emergency department referrals, reason, type of transport (EMS/GOV) and number converted to hospital stay.
  • Performs other related duties as assigned.
Qualifications

Minimum Requirements:

  • High school diploma or equivalent certification required.
  • Completion of an accredited medical records program or a minimum of one (1) year of experience in an established medical records system.
  • Working knowledge of business English, math, good grammar and spelling skills, and ability to develop correspondence, reports and operational directives required. Must have a proven history of exercising discretion and retaining confidentiality.
  • Solid organizational and communication skills. Ability to understand and carry moderately complex oral and written instructions; to make minor decisions in accordance with rules and regulations as they apply to work problems; to maintain company records; and to meet and deal effectively with the public and inmates required.
  • Ability to work with computers and the necessary software typically used by the department.
