Job description

Associate Director of Records Management

The Associate Director of Records Management supports the operations of the Office of the Registrar by overseeing core academic records functions, ensuring regulatory compliance, maintaining data integrity, and providing high-quality service to students, faculty, and institutional partners.

This role serves as a key administrative leader in academic records and academic policy implementation.

This full-time hybrid position, with a minimum of two required days at Excelsior's home office in Albany, NY, and the remainder of the days worked from home, reports to the Director of Records Management or the Associate Registrar within the Registrar's Office. Evening and weekend hours may be necessary for this position.

Duties and Responsibilities:

  • Provides training, guidance, and supervision to Records Management staff
  • Support performance evaluations, workflow distribution, and professional development
  • Oversee the accuracy, maintenance, and security of academic records in the Student Information System (SIS)
  • Ensure compliance with FERPA and institutional data governance standards
  • Monitor and audit data for quality, consistency, and reporting needs
  • Provide advanced support for escalated student, faculty, and staff inquiries
  • Collaborate with Advising, Admissions, Student Financial Services, and academic units to resolve complex cases
  • Participate in strategic initiatives and cross departmental projects
  • Partner with IT and institutional research teams to test system updates, enhancements, and integrations
  • Develop documentation, process maps, and training for staff

  • A Bachelorโ€™s degree from a regionally accredited college/university

  • Exceptional attention to detail, analytical ability, and problem-solving skills.
  • Excellent communication and customer service skills.

Strongly preferred qualifications:

  • A Masterโ€™s degree in Higher Education, Educational Administration, or a related field is strongly preferred.
  • Formal supervisory experience is also preferred.

The hiring salary range for this position is $62,500.00 - $70,000.00. The hiring salary range above represents the University's good faith estimate at the time of posting.
