Job description

Supervisor of the Records & Analytics Support Team

As the Supervisor of the Records & Analytics Support Team, you will lead staff who advance the DA's Office data-driven approach through complex data entry and electronic record maintenance while ensuring the accuracy and integrity of criminal justice data. In this supervisory role, you will guide employees through complex administrative and case related processes, coordinate with cross-agency partners, and serve as a primary point of contact for police records units throughout Washington County, the Portland Metropolitan Area, and key Circuit Court personnel.

The supervisor position is primarily responsible for the following duties and others, as assigned by the unit manager:

  • Team Leadership & Administration
  • Assign, oversee, and ensure timely, accurate completion of case intake, data entry, data tracking codes, and distribution of court documents and notices
  • Provide staff performance feedback, development opportunities, and conduct performance evaluations
  • Coordinate hiring, onboarding, and disciplinary activities
  • Establish team schedules and priority alignment to ensure time-sensitive deadlines are met
  • Data Oversight & Quality Assurance
  • Coordinate with the unit manager to ensure uniform and consistent data tracking
  • Oversee implementation of quality assurance procedures and troubleshooting protocols
  • Advise team members on how to interpret criminal justice data consistent with Analytics Team data tracking requirements
  • Interagency Communication & Training
  • Train and mentor team members and assisting in the development of team policies and procedures
  • Serve as a liaison with prosecutors, law enforcement, courts, and justice system partners

Ideal Knowledge, Skills, and Abilities (KSAs):

  • Exercise strong leadership skills through clear and consistent communication, effective conflict resolution, and supportive staff development while maintaining a collaborative environment
  • Research, understand, and apply rules and procedures for federal, state, appellate courts, and various administrative entities as well as department policies and procedures
  • Apply advanced analytical and critical thinking skills in a fast-paced, high stress environment
  • Identify complex problems and review related information to develop and evaluate options and implement solutions
  • Adapt quickly to shifting priorities by multi-tasking and re-prioritize work while managing multiple deadlines effectively
  • Excellent written and verbal communication, including business professional writing standards used in formal and semi-formal communications
  • Employ principles of sound business communication and correct English usage, including spelling, grammar, and punctuation
  • Maintain CJIS compliance by exercising strong discretion in handling sensitive records

Minimum Qualifications

  • Bachelor's degree; AND five (5) years of progressively responsible legal administrative experience; AND one (1) year of supervision/lead work. OR
  • Associate degree or Paralegal Certificate; AND seven (7) years of progressively responsible legal administrative experience; AND one (1) year of supervision/lead work. OR
  • High school diploma; AND nine (9) years of progressively responsible legal administrative experience; AND one (1) year of supervision/lead work.

Preferred Qualifications:

  • Experience working for a public agency providing legal administrative services or analytics support in a supervisory or leadership role.

Additional Requirements

  • Must pass a background check.
  • Must obtain Criminal Justice Information Services (CJIS) Certification within 30 days of employment
