Job Description 
Reportingto the Associate Director, Data Management, the Records Assistant isresponsible for monitoring and maintaining the accuracy, integrity, and qualityof Advancement's alumni and donor records. Accurate and meaningful data isfoundational to supporting the mission of BC's University Advancement. Throughthe identification, diagnosis, and resolution of data integrity issues anderrors, Advancement data will better support engagement and fundraisingactivities, resulting in stronger results, community tools, and constituentsatisfaction. Specifically, the Records Assistant assists with:

  • Manualdata entry into University Advancement 500,000 record constituentdatabase. 
  • Importing data files from various sources through BrightVine data loader userinterface. 
  • Dailyreconciliation of donor demographic data essential to processing gifts to theUniversity. 
  • Ensuringthe integrity of the database through the execution of daily audit reports andregular maintenance of data records. 
  • Generateweekly and monthly data reports, and store completed work in designatedlocations. 
  • Processing of all returned mail and contact preference update forms. 
  • Customerservice inquiries via phone, email, and affinity web form correspondence. 
  • Testingof new and existing database integration systems and features. 
  • Researchrecords for special lists and report preparation. 
  • Analyzesource information such as internal and external reports, and correspondencebetween donors and employees; compile and verify the accuracy of data usingLexis/Nexis, IWave, Alumnifox, Alumnifinder, WhitePages, Obituary.com, and NCOAdata research services. 
  • Technical support for alumni trying to access the online alumnicommunity. 
  • Performing other related duties as required.

Full-Time EquivalentHiring Range: 41,300 - 51,600; salary commensurate with relevant experience.
