Job description

Receptionist Position

The Receptionist position reports to the Director of Office Operations and is the first point of contact for guests and visitors welcoming them to Alpha Baking. The Receptionist should have a pleasant personality, positive attitude and professional demeanor. Duties include providing administrative support across the organization, welcoming and greeting guests, operating phones, answering general questions, handling mail, monitoring the appearance of the area, ordering office supplies, maintaining office equipment, human resources clerical work, and assisting with special projects and other duties as requested.

Responsibilities

  • Answering, screening and directing calls
  • Answering customer inquiries and taking messages as needed
  • Greeting, directing, and monitoring visitors and maintaining the visitors' log
  • Maintaining office security by following safety procedures and controlling access via front door
  • Providing support across the organization
  • Human Resources clerical work
  • Monitoring in-house mail; sorting/distributing U.S. mail, FedEx, UPS, USPS, overnight Packaged and Certified mail.
  • Maintaining office equipment, fax, copier, postage equipment
  • Maintaining reception area and all common areas in a clean and tidy manner at all times
  • Maintaining office supplies, ordering/verifying receipts of supplies and keeping inventory of stock levels
  • Assisting with Settlement duties
  • Resetting Employee passwords for UKG log in
  • Assisting with hourly volume recruiting and new hire orientations
  • Assigning and Managing employee badges
  • Assisting with special projects and other duties as requested
  • Attendance tracking and generating discipline letters for attendance
  • Managing uniform service

Requirements

  • High School Diploma or GED equivalent
  • Excellent written and verbal communication skills
  • Proficiency in Excel/Word/Outlook
  • Professional attitude and appearance
  • Proficiency with multi-tasking and prioritizing tasks
  • Punctual with strong attendance history
  • Ability to make solid independent decisions when circumstances warrant
  • Ability to remain calm under pressure
  • Excellent problem-solving ability
  • Previous experience in the Human Resources field
  • Bilingual: English, Spanish
  • Ability to maintain confidentiality of sensitive data/information
