Job description

Mobile, AL: Flexicrew Technical Services (FTS) is seeking a professional, organized, and dependable Receptionist for a temporary assignment supporting a professional office environment. This assignment is expected to last a minimum of three weeks, with the potential to become a permanent opportunity. This position is ideal for someone with strong customer service and administrative skills who is comfortable serving as the first point of contact for clients, visitors, vendors, and incoming calls.


Essential Duties:

  • Open the office promptly each morning and ensure reception and conference room areas are organized, clean, and ready for use.
  • Answer and route incoming calls using a multi-line telephone system.
  • Take accurate messages and communicate information to attorneys and staff.
  • Professionally greet clients, visitors, vendors, and other guests and direct them to the appropriate individual or location.
  • Screen incoming calls as appropriate and assist with minimizing unsolicited calls.
  • Receive, record, and route incoming deliveries to the appropriate recipients.
  • Maintain records of outgoing deliveries.
  • Schedule conference rooms and maintain accurate records of room usage.
  • Assist with conference room setup, refreshments, and cleanup for meetings and special events.
  • Maintain a neat, organized, and professional reception and lobby area.
  • Notify appropriate personnel of building or maintenance concerns.
  • Assist with visitor parking validation or related requests as applicable.
  • Assist with runner duties and other general office needs as requested.
  • Assist with ordering lunches or refreshments for attorneys, clients, and visitors as needed.
  • Perform basic administrative tasks including filing, spreadsheets, name tags, document organization, and other office support.
  • Learn and assist with attorney time entry in the firm's time and billing system as needed.
  • Maintain confidentiality regarding client, attorney, and firm information.
  • Complete assigned duties accurately with minimal supervision.

Requirements/Skills:

  • High school diploma or GED required.
  • No previous legal experience required.
  • Previous receptionist, front desk, customer service, or administrative experience preferred.
  • Ability to type 40+ WPM.
  • Proficiency with Microsoft Office applications.
  • Comfortable operating a multi-line telephone system and standard office equipment.
  • Strong verbal communication and interpersonal skills.
  • Professional demeanor and ability to interact courteously with clients, attorneys, staff, vendors, and visitors.
  • Strong organizational skills with the ability to prioritize multiple tasks.
  • Ability to accurately take and relay messages.
  • Basic computer and spreadsheet skills.
  • Ability to organize files and documents alphabetically or according to established procedures.
  • Ability and willingness to learn office-specific software, including time and billing systems.
  • Strong attention to detail and ability to work with minimal supervision.
  • Dependable and punctual with the ability to maintain consistent attendance.
  • Ability to maintain a professional appearance appropriate for a professional office environment.
  • Flexibility to occasionally work outside established hours when business needs require.

Physical Requirements:

  • Ability to sit for prolonged periods while performing receptionist and administrative duties.
  • Ability to bend, stoop, stretch, and move throughout an office environment as needed.
  • Manual dexterity and hand-eye coordination sufficient to operate a computer, telephone, copier, calculator, and other standard office equipment.
  • Ability to maintain the hearing and visual capabilities necessary to receive, record, and communicate information effectively.
  • Ability to climb stairs as needed.
  • Ability to lift and carry packages weighing up to 10 pounds.
