Your role at GEI.
Essential Responsibilities & Duties
• Manage front office operations, including reception, phones, and package handling.
• Oversee office administration: inventory, supply ordering, maintenance coordination, organization, scheduling, and mail/package distribution.
• Coordinate and maintain vendor relationships.
• Provide administrative support to staff and assist with a variety of tasks.
• Support projects by reviewing, editing, and formatting correspondence, technical documents, and COIs.
• Collaborate with technical staff to interpret project instructions and proactively address issues.
• Handle onboarding and offboarding administrative processes.
• Coordinate meetings: reserve rooms, manage AV setup, arrange catering, and handle room setup/cleanup.
• Troubleshoot basic technical issues and maintain strong computer proficiency.
• Perform additional duties as assigned.
• Track, organize, and manage equipment and samples in off-site storage unit.

Minimum Qualifications
• 3-5 years of administrative experience.
• Ability to work independently and collaboratively.
• Proficiency in Microsoft 365 (Word, Excel, PowerPoint, and Teams) and Adobe Acrobat/Revu.
• Strong grammar, writing, formatting, proofreading, and editing skills.
• Excellent interpersonal, verbal, and written communications.
• Strong time-management, multitasking, and prioritization abilities.
• Current Maryland and Washington, DC Notary License, or ability to obtain.
