UCBC is seeking a professional, friendly, and detail-orientedGuest Services & Reception Coordinatorto be the welcoming face of our organization. This role combines receptionist duties with guest services, event support, and patient experience initiatives to ensure a seamless and positive experience for visitors, patients, and employees alike. The ideal candidate will be knowledgeable about UCBC's physicians, service lines, and overall company structure to best assist patients and visitors.

Key Responsibilities:

Front Desk & Reception

  • Warmly greet and assist visitors, patients, and employees upon arrival.
  • Manage check-ins and direct inquiries appropriately.
  • Maintain a clean, organized, and professional reception area.
  • Assist with administrative tasks, scheduling, document handling and other tasks assigned.

Guest Services

  • Provide concierge-level service to patients and guests, ensuring a welcoming and accommodating experience.
  • Anticipate visitor needs and proactively offer assistance.
  • Be well-informed about UCBC's physicians, specialties, and service lines to guide patients and visitors accurately.
  • Coordinate guest accommodations by contacting the appropriate office or staff member they are visiting.

Event Support

  • Support and assist the marketing team in planning and executing UCBC events and meetings, including set-up, registration, and guest assistance.
  • Support internal teams by ensuring smooth event operations and handling on-site inquiries.

Patient Experience & Advocacy

  • Collaborate with thePatient Experience Teamto enhance service quality.
  • AttendPatient Advisory Council meetingsto stay informed on patient concerns and initiatives.
  • Address patient inquiries and concerns
  • Distribute informational materials and assist patients with navigation.
  • Gather feedback to improve overall patient satisfaction.

Qualifications & Skills:

  • Previous experience as a receptionist, guest services, or customer service role.
  • Strong interpersonal and communication skills.
  • Ability to multitask in a fast-paced environment.
  • Proficiency in Microsoft Office Suite and scheduling systems.
  • Professional appearance and positive demeanor.
  • Knowledge of UCBC physicians, service lines, and company structure (or willingness to learn).
  • Experience in healthcare or hospitality is a plus.
