Job description

Steves & Sons, a door manufacturing company founded in 1866, is seeking a Bilingual Receptionist to perform front desk, office duties and to assist in our HR Dept.

ESSENTIAL JOB DUTIES AND RESPONSIBLITIES :

Customer and Visitor Services

  • Greet and welcome visitors, clients, and vendors.
  • Direct visitors to the appropriate people or departments.
  • Provide basic information about the company, products, or processes upon request.

Call Handling and Communications

  • Answer phone calls from clients, suppliers, or carriers, as needed.
  • Transfer calls to the correct department (Receiving, Shipping, Production, etc.).
  • Take and relay messages when staff members are unavailable.
  • Review and respond to general company emails.

Documentation and Basic Administration

  • Receive invoices, purchase orders, delivery notes, and supplier documents, when necessary.
  • File physical or digital documents in an organized and sequential manner.
  • Assist with creating simple reports or material inbound/outbound records.
  • Maintain control of office and (some) production supplies and submit replenishment requests.

Light Logistics Coordination

  • Record product orders to maintain proper stock and handling.
  • Make purchases for cleaning and common area maintenance.
  • Verify delivery documents under their responsibility (POs, invoices, packing lists).

Support to Other Departments

  • Coordinate with the Human Resources department on matters such as interviews or new employee arrivals.
  • Assist the sales or purchasing team with basic tasks (e.g., requisitioning some stationery materials).
  • Help organize internal or external meetings.
