Job description

Job Title: Bilingual HR & Administrative Support Professional Location: Claremore, OK Type: Contract To Hire Compensation: $22.00–$26.00 per hour Contractor Work Model: Onsite – onsite

Responsibilities

  • Serve as the first point of contact for employees, visitors, and vendors, providing professional front office reception duties
  • Greet and assist employees, applicants, visitors, contractors, and vendors in a courteous manner
  • Answer, screen, and direct incoming phone calls and inquiries
  • Ensure proper visitor sign-in procedures and adherence to safety and PPE requirements
  • Maintain a clean, organized, and professional front office and reception area
  • Receive and distribute mail, packages, and internal communications
  • Coordinate with departments for visitor access and scheduling
  • Manage coverage during absences or lunch breaks
  • Support confidential HR functions such as onboarding activities, interview scheduling, and HR inquiries
  • Assist with employee engagement events and activities, ensuring confidentiality of sensitive information
  • Handle billing and invoicing for temporary agencies and staffing agency relationships
  • Act as the point of contact for Day Labor positions through staffing agencies
  • Provide daily attendance reports to management teams
  • Manage access and security controls with key fob systems
  • Support administrative functions such as scheduling meetings, preparing training materials, ordering office supplies, and document preparation
  • Assist with special projects and cross-functional administrative needs

Requirements

  • High school diploma or equivalent required; associate degree in Human Resources, Business Administration, or related field preferred
  • 1–3 years of administrative, receptionist, or HR support experience preferred (manufacturing experience a plus)
  • Proficiency in Microsoft Office (Word, Excel, Outlook); HRIS experience preferred
  • Strong communication and interpersonal skills
  • Excellent organizational and multitasking abilities in a fast-paced environment
  • Professional demeanor with strong customer service skills
  • Ability to handle sensitive and confidential information with discretion
  • Strong attention to detail and problem-solving skills
