We are seeking a part-time (20-28 hours per week) receptionist for our Andrew Street location. One-year contract with the possibility to extend.


The Receptionist provides front-line administrative support to ensure the smooth and efficient operation of the clinics within the Andrew Street location. This role serves as a primary point of contact for patients delivering professional and courteous service while supporting clinic workflows and administrative functions. This role will support various clinics and teams members across FHT programs.


Key Responsibilities

  • Welcome and check in all patients upon arrival.
    • Ensure patients complete all required paperwork and forms, including clinic-specific documentation(e.g., consent forms for new Mental Health patients).
  • Maintain awareness of the requirements and workflows for all clinic programs and services.
  • Answer the high-volume main phone line and direct phone calls as required.
  • Scan and upload patient documentation from various clinics into EMR (PSS)
  • Support fax management and document processing workflows as needed.
  • Collaborate with administrative team members to ensure coverage during absences, vacations, and peak clinic times.
  • Participate in cross training to provide natural backup support for front administrative functions.
  • Assist with other reception and administrative duties as assigned.

Qualifications & Skills

  • Post secondary education - preferably related to health, an asset
  • Minimal 2 years' experience in an administrative position in a healthcare organization - preferably primary care
  • EMR experience, preferably Practice Solutions
  • Excellent information technology skills including working knowledge of Windows and Microsoft Office 365 - Excel
  • Experience working with a patient/client database system for booking, billing, scheduling, and retrieving information. Practice Solutions experience preferred
  • Excellent communications (written, verbal, and interpersonal) skills
  • Ability to multitask, prioritize and manage time effectively, with specific attention to detail in a fast-paced environment
  • Strong self-starter, able to effectively prioritize key tasks and deliverables with limited day-to-day direction, are a solution orientated thinker
  • Demonstrated ability to work collaboratively and take direction from health care professionals
  • Proven ability to keep confidential information regarding patients, health care providers, employees, business operations and team information
  • Comfort and experience working with non-English speaking populations, or through an interpreter.
  • Conscientious, flexible and adaptable
